Position Summary: The Executive Assistant gives a positive first impression to all callers and visitors, with their warm and friendly personality. They are responsible for maintaining the flow of business in a fast-paced environment. Primary responsibilities include answering incoming phone calls, scheduling client appointments, managing incoming and outgoing mail, and managing the calendar.


Responsibilities:

Desk Representative

  • Serve as primary receptionist by answering calls and directing to appropriate staff.
  • Maintain office appearance including lobby area and break room.
  • Maintain client information in CRM database with impeccable accuracy (managing appointments, updating client information, etc.)
  • Manage financial advisors' calendars including scheduling client and prospective client meetings, vendor/industry meetings and internal meetings.
  • Handle or escalate client issues as needed.
  • Process incoming and outgoing mail.
  • Order office supplies.
  • Perform routine clerical duties and assist financial advisors and staff as needed (make copies, send faxes and emails, obtain signatures, etc.).

Client Relations

  • Build and maintain strong relationships with existing and new clients.
  • Welcome clients into the office. Provide a warm and friendly atmosphere. Offer refreshments and conversation.
  • Ensure client information is reviewed and verified on a regular basis.
  • Handle various client issues as assigned.

Miscellaneous

  • Attend client functions when necessary.
  • Assist with firm mailers when needed.
  • Create and update processes and procedures.
  • Special tasks and projects as assigned.

Education and/or Experience:

  • High School diploma required
  • Bachelor's degree strongly preferred
  • 2+ years Administrative/Reception experience
  • Proficient in Microsoft Office applications
