Summary of Position:
The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, board of directors, and Senior Leadership team. The executive assistant provides administrative support, clerical support, and customer service as a representative of the Chief Executive Officer and organization. The Executive Assistant anticipates needs, manages office operations assisting in daily office needs and managing the organizations general administrative activities. The Executive Assistant provides comprehensive administrative support to the Chief Executive Officer. The Executive Assistant is responsible for coordinating, attending, and documenting routine board meetings and committee meetings while maintaining confidential information.

Responsibilities of Position:
  • Provide comprehensive administrative support to the Executive Director
  • Develop and maintain appropriate filling systems within the organization.
  • Provide support for administrative requests of Senior Leadership.
  • Obtains and prepares information for Board of Trustees meetings, coordinates board and committee meetings, completes meeting minutes, and supportive services monthly and as needed.
  • Direct incoming calls, greet visitors, route telephone and faxed messages appropriately.
  • Perform opening and closing office duties.
  • Assist with the maintenance of the Agency storage and labeling system.
  • Oversee and maintains office, janitorial, and kitchen supplies.
  • Maintain the calendars of key executives including coordinating meetings.
  • Assist with special projects, events, and or areas of responsibility in a productive manner as needed or requested.
  • Plan meetings and take detailed minutes.
  • Act as a liaison between vendors and external partners.
  • Write and distribute email, correspondence memos, letters, faxes, and forms.
  • Maintain an organized and clean office environment.
  • Coordinate phone coverage for all office location and provide phone coverage at other offices as needed.
  • General clerical duties to include but limited to utilization of Microsoft Office products, photo copying, faxing, mailing, and filing.
  • Provide general support to visitors and vendors.
  • Other duties as assigned.
Education and Experience:
  1. Associate Degree in Administrative Studies or Business Administration or High school diploma with a minimum of 5 years administrative support experience in a professional environment
  2. Minimum of three years of experience and knowledge of Microsoft Office products.
  3. Minimum of three years administrative experience preferred.

  1. Excellent computer skills with working knowledge and advanced knowledge of Microsoft Office Products.
  2. Excellent customer service and computer skills.
  3. Excellent written and verbal communication skills.
  4. Strong organizational and interpersonal skills.
  5. Professionalism and ability to maintain confidential information.
  6. Ability to take initiative and anticipate needs; ability to follow instructions and work independently.
  7. Attention to detail and the ability to accurately maintain detailed records.
Additional Requirements:
  1. Shall have a valid driver's license.
  1. Travel to other sites as needed. Travel may be in inclement weather.
  2. Ability to lift 25 lbs of supplies or equipment
  3. Requires various amounts of sitting, standing, twisting, turning, bending, lifting and walking.
