Job Description

Our client is seeking a bilingual, proactive, and highly organized Executive Assistant to support senior leadership within a fast-paced law office. This role is ideal for a tech-savvy professional who excels at managing administrative operations, optimizing workflow through technology, and playing a key role in the implementation of office policies and procedural updates.


Key Responsibilities

  • Provide high-level administrative support to the managing attorney, including calendar management, meeting coordination, travel arrangements, and correspondence.
  • Draft, proofread, and format legal documents, reports, and internal communications.
  • Manage confidential information with discretion and professionalism.
  • Identify opportunities to improve operational efficiency and implement new technologies or systems to streamline office processes.
  • Lead the rollout of policy updates and procedural changes; ensure compliance and staff alignment.
  • Maintain and update filing systems, client databases, and internal tracking tools using case management and document automation software.
  • Troubleshoot technical issues and oversee software implementations or upgrades.
  • Support onboarding and training of new staff on internal systems and updated policies.

Qualifications

  • 3+ years of experience in an Executive Assistant or Legal Assistant role, preferably in a law firm or professional services environment.
  • Strong proficiency with Microsoft Office Suite, document management systems, and cloud-based collaboration tools (e.g., SharePoint, Clio, NetDocuments, or similar platforms).
  • Proven ability to lead or support the implementation of office-wide initiatives, including tech upgrades and policy changes.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, problem-solving ability, and a proactive mindset.
  • Discretion and professionalism in handling sensitive information.
  • Bilingual in Spanish & English.

Preferred

  • Experience supporting senior leadership or managing cross-departmental projects.
  • Familiarity with legal terminology and court filing procedures.
