Location: Remote US, Sacramento preferred, must reside in PST

Salary: Exempt, 75k plus bonus

Summary of Overall Job:

Provide executive administrative support to the Chief Revenue Officer to help ensure the Sales department is running smoothly and is achieving its revenue goals.

Performance Measures:

Number of coordination cycles completed per week. (Example: conference calls coordinated, meetings coordinated, project management tasks and completions etc.).

Overall Responsibilities:

Full coordination and management of schedule Responsibilities:
  • Maintaining and updating monthly calendars and daily schedules by setting up phone calls, coordinating meetings internal & external; sending and replying to emails upon request.
    • Help manage the CRO's calendar to ensure there is enough time to get work done in the day and not just be on back-to-back calls all day.
    • Ensure she has Strategy Work time blocked on the calendar so that the CRO can have time to analyze sales metrics and create plans and programs for the sales dept.
  • Keeping the Executive on time throughout their day with meetings by sending reminders as needed. Joining calls as needed to take notes or to inform participants of any attendance changes. Letting others know if the CRO is running behind, etc.
  • Handling all logistics for internal meetings run by the CRO by ensuring there is an agenda, information is gathered and prepared in advance for the meetings and that all attendees & their roles are coordinated, etc.
  • Help the executive by being a proxy internally to help them get things internally pushed through.
  • Keep track of all cycles the Executive has on her plate and put it into a daily list. Help ensure urgent items are responded to the same day and brought to the top of the list.
  • Coordinate all travel to ensure all details of their travel are arranged (booking flights, hotel, car service, calendaring the itineraries, travel time, etc). Additionally, manage all rewards, miles/points programs, travel credits and travel profile.
  • While the CRO is on travel, watching travel updates to ensure smooth travel, making needed changes.
  • Look ahead at potential conferences and travel to help line up dates, coordinate any needed appointments to prep for travel.
  • Verify charges on the RAMP statement and promptly submit travel reimbursements.
  • Travel Support for any Sr. Manager in sales as needed and directed by the CRO. This includes booking flights, hotel, and transportation arrangements to attend conferences, and meet with clients.
  • Creating or editing presentation or reports, proof-reading and running point.
  • Creating and managing overall internal lists such as sales employee lists, meetings lists, etc.
  • Coordinating and organizing the annual sales kickoff including booking the venue, organizing a hotel room block (if needed), catering/meals, meeting times, AV (as needed), organizing internal speakers, agenda (with the CRO), communication with the team on logistics, etc.
  • Assisting with any administrative tasks needed by the CRO - such as running errands, managing or setting personal appointments, etc.
  • Pre meeting set up, such as ensuring all needed preparation notes are on the calendar for all meetings, set up for the CRO's meetings, (coffee, break snacks, coordination with venues as needed), etc.
  • Ensure client from meetings are all connected with on LinkedIn
  • Help with any other task or project as assigned.
Represent the Office of the Chief Revenue Officer:
  • Corresponding directly with senior level clients and internal team as needed.
  • Handle professional correspondence (thank you notes etc.)
  • Help with follow up after meetings with clients.
  • Coordinating connections on LinkedIn with clients.
  • Help manage the CRO's social media activity, ensure the CRO is posting on social media, sharing e.Republic posts, etc.
Support the Chief Revenue Officer with project management of sales related programs:
  • Maintain a list of all projects, requests and follow up with internal team to keep project moving and report to CRO daily updates.
  • Help the CRO make sure the Sales team is participating in the Wednesday Wave.
  • Sales team conference travel coordination: For conferences where a large number of reps will be in attendance, help the CRO and sales leadership ensure there is a strategy and appointment grid so that the sales team is maximizing attendance and meeting with key clients.
  • Sales team conference appointment coordination: To large conferences, like NASCIO, creating and managing appt grid and follow up of meeting notes, organized so it is all visible to the CRO and Sales leadership.
  • Liaise with the Revenue Operations teams to keep the CRO informed on necessary sales and marketing metrics.
  • Help coordinate with Sales Leaders, any sales training, BD, sales updates so the CRO is notified and can have input and/or approvals where necessary.
  • Coordinate any and run requested projects, providing regular updates.
  • Liaise with the e.Republic delivery and marketing departments as needed.
Other Responsibilities:
  • Coordinate all virtual or in-person sales team meetings throughout the year.
  • Coordinate the Annual in person sales retreat.
  • Help with any other task or project as assigned.
Skills/Qualifications:
  • Basic understanding of Salesforce or have prior experience
  • Proficiency in the MS Office Suite of products (Word, Excel, Outlook, etc.); must be in work environment with a reliable internet connection. Experience with MS PowerPoint would be preferred but not required
