Broadwater Capital is seeking an experienced Executive Assistant to support firm leadership by managing calendars, travel, and priorities while ensuring seamless communication with investors, clients, and stakeholders. This role requires discretion in handling confidential information, overseeing office operations, coordinating meetings, and optimizing administrative systems. Additionally, the Executive Assistant will drive project management, CRM oversight, and process improvements to enhance efficiency and support the firm's strategic initiatives.
As a key collaborator to the Founder/Managing Partner, the Executive Assistant will be instrumental in the seamless operation of day-to-day activities, and provide critical support in this dynamic, entrepreneurial environment where no two days look the same.
KEY RESPONSIBILITIES TO ACHIEVE SUCCESS
The Key Accountabilities for the position include but are not limited to the following:
Executive Support
- Maintain strict confidentiality of highly sensitive and confidential information to preserve credibility and trust.
- Provide comprehensive support to firm leadership, managing calendars, scheduling meetings, coordinating travel arrangements, and proactively assisting with task management and prioritization to free up capacity for the Founder/Managing Partner.
- Draft, prepare, and edit correspondence, presentations, one-pagers, legal documents, and internal communications in the firm leader's voice, ensuring accuracy, specificity, and timely responses.
- Serve as the primary point of contact between firm leaders and internal/external stakeholders, providing thorough, responsive communication.
- Actively manage and organize historical documents and notes, integrating them into newly designed administrative systems.
- Proactively guide firm leadership in leveraging administrative support effectively, including methods for delegation and priority management.
Office Management
- Assist with office operations, ensuring all administrative functions are streamlined and efficient, specifically by designing, implementing, and maintaining administrative systems and policies.
- Manage office supplies inventory, coordinating timely orders.
- Coordinate firm-wide logistics including travel, scheduling, and special projects such as the annual meeting.
Communication and Stakeholder Management - Manage communication channels to ensure timely, accurate, and responsive interactions via email, phone, and other mediums.
- Cultivate and maintain strong relationships with stakeholders, including investors, clients, and service providers, serving as an effective liaison and ambassador for the firm.
- Maintain and update stakeholder correspondence and relevant details within CRM software (DealCloud), becoming the domain expert in this system and customizing it for optimal usability.
- Develop and maintain structured systems for engagement with portfolio companies, limited partners, and fundraising activities to streamline communication and coordination.
Meeting Coordination
- Coordinate internal and external meetings, conferences, and investor briefings, managing all aspects from pre-meeting planning and strategy to post-meeting follow-up and actionable next steps.
- Ensure seamless execution and follow-through, effectively managing logistics and agendas to support clear communication and strategic alignment.
Project Management
- Undertake specific projects as assigned by firm leadership, managing timelines, resources, and budgets effectively.
- Monitor project progress proactively, address emerging issues promptly, and provide comprehensive status updates.
- Initiate and lead process improvement initiatives, document new procedures clearly, and integrate appropriate technology solutions or third-party providers.
- Support investment sourcing initiatives by developing systems, processes, and logistical coordination to enhance direct relationship-building efforts with business owners and intermediaries.
REQUIREMENTS OF THE POSITION
- Bachelor's degree preferred in Business Administration Communication or related field, or equivalent work experience
- 5+ years of executive-level administrative support, preferably in professional services, finance, private equity, or investment banking
- Proven ability to handle sensitive information with integrity and professionalism. Discretion and confidentiality are paramount.
- Exceptional written and verbal communication skills, with the ability to draft correspondence, presentations and reports, and the ability to interact effectively with all levels of management and staff.
- Strong attention to detail, and excellent time management skills with the ability to manage multiple priorities, deadlines, and stakeholders.
- Experience coordinating complex projects, managing timelines, and implementing process improvements.
- Strong interpersonal skills to build and maintain relationships with investors, clients, and executive teams.
- Proactive and resourceful in anticipating needs, resolving issues, and driving efficiency.
- Experience with CRM Software is a plus
