Essential Functions: - Provide administrative support to senior leadership, including calendar management, meeting coordination, and travel arrangements.
- Prepare and organize materials for meetings, presentations, and internal reports for senior leadership and various teams.
- Coordinate and document meeting agendas, take meeting minutes, and ensure action items are tracked and followed up on.
- Draft and manage correspondence for senior leadership, including emails, letters, and thank-you notes, requiring strong judgment and attention to detail.
- Organize and maintain files, documents, and other critical materials.
- Handle the preparation and submission of expense reports, travel logistics, and other administrative needs.
- Support the CEO and senior leadership in managing projects and special initiatives as assigned.
- Assist with the coordination of events and visits, ensuring all logistics are in place for attendees, meeting materials, and scheduling.
- Monitor, maintain, and stock break room food and beverages, office equipment and supplies.
- Perform general administrative tasks, as needed, to ensure smooth office operations.
- Other tasks and duties as assigned.
Minimum Qualifications: - Bachelor's degree in Business, Administration, a related field, or equivalent experience.
- At least 2 years of administrative support experience, preferably in an executive or senior leadership environment. Equivalent education and experience may be considered.
Preferred Qualifications: - Strong written communication and research skills, with an ability to synthesize information and communicate it clearly.
- Excellent organizational skills, with an ability to manage competing priorities and deadlines effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Exceptional interpersonal skills with the ability to build and maintain relationships internally and externally.
- Proficiency with Microsoft 365 (Word, Excel, PowerPoint, Outlook) and experience with Salesforce or similar CRM platforms.
- A proactive and flexible approach, able to handle multiple tasks independently while maintaining high standards of accuracy.
- Experience in contributing to a positive, inclusive, and collaborative workplace culture.
Working Environment: - This is a full-time, on-site position with regular office hours (Monday-Friday).
- Activities will primarily take place in an office environment, with occasional lifting (up to 20 pounds) and standing for extended periods.
- Occasional travel may be required, and the ability to drive and maintain a valid driver's license is necessary.
- Must be able to work effectively in a dynamic and fast-paced environment.
