The Executive Assistant (EA) to the President plays a critical role in ensuring the smooth operation of the executive office. This highly skilled professional provides strategic administrative support, manages complex schedules, and facilitates communication to enhance executive efficiency. The EA must be proactive, organized, and able to work in a fast-paced environment while maintaining the highest level of confidentiality.
WORK ENVIRONMENT & FLEXIBILITY: Polaris Marine is a fun, exciting family of boat brands that lead the industry in quality, innovation, luxury, and scale of business. This role is pivotal in coordinating leadership across teams while also being front facing at many local events and boat shows. Limited travel approximately 5% of the time includes attending key boat shows in Miami, Boston, Fort Lauderdale, and Scottsdale, ensuring representation in some of the most beautiful areas in North America where Polaris Marine boats are sold.
The position comes with in-office flexibility while key executives are traveling but may require answering emails, calls, and texts outside normal office hours if events or travel are occurring. Additionally, this role requires a positive, team-oriented attitude that thrives in a winning culture.
ESSENTIAL DUTIES & RESPONSIBILITIES: - Executive Support: Provide direct administrative assistance, including managing calendars, scheduling meetings, light personal errands, and coordinating travel arrangements.
- Communication Liaison: Serve as the primary point of contact between the President and internal/external stakeholders.
- Meeting Coordination: Prepare agendas, organize materials, and ensure follow-ups for executive meetings.
- Project Management: Oversee special initiatives and support strategic planning efforts.
- Document Preparation: Draft reports, presentations, and correspondence on behalf of the President. Familiarity with PowerPoint and a willingness to enhance presentation development and creation is highly valued.
- Event Planning: Coordinate executive-level events, meetings, lunches, dinners, and events for out-of-town guests of Polaris Marine and conferences. The EA must also be comfortable representing Polaris Marine at local events and functions.
- Confidentiality & Discretion: Manage sensitive information with professionalism and discretion.
- Process Optimization: Identify and implement administrative efficiencies to enhance executive productivity.

EDUCATION & EXPERIENCE: - Bachelor's degree in Business Administration, Communications, or a related field preferred.
- Equivalent Work Experience may be considered in place of formal education.
- 5+ years of executive administrative support experience, preferably in a corporate or high-level business setting.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and business communication platforms.
- Experience in event planning, project coordination, and executive-level decision support.
- Valid driver's license required.
