Role: Executive Assistant and Office Manager
Location: Hybrid/Detroit Home Office
Reports to: CFO
Objective of Role: Reporting directly to the CFO, this dual-role combines Executive Assistant (EA) responsibilities with Office Manager duties for the Detroit Home Office. The EA/Office Manager will provide high-level administrative and operational support to the CEO, coordinate with the executive team, and ensure smooth day-to-day office operations. The ideal candidate thrives in a fast-paced, startup environment, is proactive, highly organized, maintains strict confidentiality, and is willing to handle both high-level tasks and routine office administration.
Responsibilities: - Executive Support:
- Provide proactive executive-level administrative support to the CFO and select Executive Team members, ensuring seamless daily operations and prioritization of strategic priorities.
- Manage complex calendars, scheduling, and meeting logistics across time zones with discretion and urgency.
- Prepare, proofread, and organize confidential materials for board meetings, investor communications, and executive reviews.
- Act as a liaison with internal departments and external stakeholders, handling sensitive information with utmost professionalism.
- Support coordination of investor correspondence, scheduling, and documentation.
- Oversee travel planning, expense reporting, and executive logistics with attention to detail and budget awareness.
- Coordinate special projects, maintain executive task lists, and support follow-through on key initiatives.
- Uphold a polished, composed presence as a trusted gatekeeper and representative of the Executive office.
- Office Management
- Oversee day-to-day Detroit office operations, ensuring a clean, organized, and professional environment.
- Manage select office vendor relationships, including landlords, service providers, and maintenance contractors.
- Centralize the procurement and maintenance of office supplies, furniture, and equipment within aesthetic and budget guidelines.
- Coordinate office room calendars, meetings, and events, including logistics and catering arrangements.
- Administrative Operations
- Develop, implement, and maintain office policies and procedures in collaboration with relevant departments, e.g., HR.
- Handle mail, deliveries, Executive team expense reimbursements, and minor accounting duties.
Requirements: - Minimum 5-7 years of experience supporting C-level executives in a fast-paced, high-growth environment with a proven ability to manage sensitive information with discretion.
- Exceptionally organized and self-motivated, with strong time management and prioritization skills; adept at juggling multiple priorities across dynamic calendars, meetings, and deliverables.
- Notary services a plus.
- Proficient in Microsoft Office, Google Workspace, and collaboration tools (e.g., Teams, Slack, Smartsheet); experience with procurement systems and project management tools is a plus.
- Strong written and verbal communication skills with meticulous attention to detail; comfortable preparing confidential materials for board meetings, financial reviews, and investor communications.
- Familiarity with apparel, finance, or investor relations environments is preferred; a quick learner who demonstrates maturity, sound judgment, and a polished executive presence.
