What will be your daily pursuit?

Pursuit is seeking a highly organized, proactive, and discreet Executive Assistant to provide high-level support to the Chief Executive Officer (CEO) and Chief Financial Officer (CFO). The role requires exceptional communication skills, professionalism, and the ability to manage complex calendars, confidential information, and high-priority initiatives in a fast-paced, dynamic environment.

What will your compensation be?

The salary range for this role is $95,000/year to $110,000/year. Pursuit offers a full suite of benefits, including discounts at our hotels, restaurants, and attractions, flexible time off, and a 401k contribution matching plan.

What will you do in this job?

Calendar and Meeting Management
  • Manage complex, ever-changing calendars for the CEO and CFO, including prioritizing meetings, coordinating travel, and ensuring alignment with business objectives.
  • Schedule and prepare materials for Board of Directors meetings, investor calls, and executive leadership team meetings.
  • Act as the liaison for internal and external meeting requests, resolving conflicts and optimizing schedules.
  • Ensure meeting requests include clear agendas and objectives and confirm that all participants are informed and prepared in advance.
Travel and Logistics
  • Plan and book executive travel, including international and domestic flights, hotels, and ground transportation.
  • Prepare detailed travel itineraries and ensure all arrangements meet executive preferences and budget guidelines.
Communication and Correspondence
  • Draft, proofread, and manage high-level communications, including internal memos, external correspondence, and investor relations support materials.
  • Handle confidential information with the utmost discretion and integrity.
  • Serve as the gatekeeping and point of contact between the CEO/CFO and internal/external stakeholders.
Project and Document Management
  • Organize and maintain files, reports, contracts, and presentations.
  • Assist in the preparation of materials for earnings calls, investor conferences, executive leadership team meetings, and Board meetings.
  • Support special projects, including tracking progress and following up on action items.
Administrative Operations
  • Process expense reports and purchase requests in a timely and accurate manner.
  • Coordinate with other departments and administrative staff to ensure smooth execution of executive priorities.
What skills and experience do you need for this job?

Ideal Experience
  • Minimum of 7 years' experience supporting senior executives in complex, enterprise-scale environments (3,000+ employees).
    Experience in the hospitality industry is strongly preferred; experience in a publicly traded company a bonus.
Education
  • Bachelor's degree preferred but we appreciate real-world experience.
Skills & Abilities
  • Highly proficient in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel); familiar with tools like Concur, DocuSign, and Zoom.
  • Assertive and driven demeanor; balances professionalism with the determination to get results.
  • Strong judgment and prioritization skills, with the ability to assess the urgency and strategic importance of requests-confidently pushing back or redirecting as needed while maintaining professionalism and positive relationships.

What will your work environment be like?

This role is based in an office environment and requires on-site presence at least four days per week (Mon-Thurs). The position involves regular in-person collaboration with senior leadership and includes offsite meetings and event or meeting preparation outside of office hours. The ideal candidate is comfortable in a dynamic, fast-paced setting and adaptable to shifting priorities and executive needs.

The physical requirements of this position are typical of an office-based role. This role will occasionally be required to lift, carry, or move office-related items such as flip charts, boxes of meeting materials, supplies, or presentation equipment - typically 25 pounds or less. The role also involves extended periods of sitting, working on a computer, and walking or standing during events or meeting preparation.
