Position Title: Executive Assistant
Location: Dallas, TX
Schedule: Full-time, On-site Monday Friday, 8:30 AM 5:30 PM
Compensation: $90,000 $100,000 base



Position Summary

A private investment firm headquartered in Dallas is seeking a polished and highly organized Executive Assistant to provide administrative support to three senior executives. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This individual must thrive in a traditional, high-performance office environment and demonstrate long-term commitment to their role.



Key Responsibilities

  • Manage complex calendars, schedule meetings, and prioritize competing demands

  • Coordinate detailed travel itineraries, including air, hotel, and ground transportation

  • Prepare meeting materials such as briefing documents, bios, and firm overviews

  • Maintain accurate and up-to-date CRM records

  • Manage internal and external event logistics including board meetings and investor events

  • Track and process expense reports in a timely and accurate manner

  • Provide website updates and manage firm presence on LinkedIn and other marketing platforms

  • Serve as a liaison with investors, portfolio companies, and key stakeholders

  • Collaborate closely with a peer Executive Assistant and provide backup front desk coverage as needed



Candidate Profile

  • Experience: 3 15 years of administrative experience supporting senior leadership, ideally in private equity, investment banking, or professional services

  • Education: Bachelor s degree preferred; strong academic performance will be verified (transcripts required). Exceptional experience may be considered in lieu of a degree.

  • Professionalism: Highly polished demeanor (client-facing), excellent verbal and written communication skills, and sound judgment

  • Technical Proficiency: Strong Microsoft Office Suite skills (Outlook, Word, Excel, PowerPoint); CRM (Salesforce) and virtual conferencing platforms (Teams, Zoom, Webex)

  • Work Ethic: Reliable, detail-oriented, discreet, and adaptable to a fast-paced environment

  • Culture Fit: Comfortable in a structured, old-school professional setting with high standards and minimal turnover
