Executive Assistant to CEO - Culver City, California
Position Overview:
A dynamic CEO within the financial services industry is seeking a highly skilled and proactive Executive Assistant. This individual will play a key role in managing the CEO's day-to-day operations and ensuring the smooth flow of business. The ideal candidate is a strategic thinker who enjoys identifying efficiencies and proactively solving problems before they arise. You must be able to take initiative, anticipate needs, and manage tasks without constant direction. Excellent communication skills and the ability to build relationships with key stakeholders are essential. Seeking candidates with 4-6 years of experience providing high-level executive support role within a corporate environment, and a strong ability to manage multiple priorities, maintain flexibility, and exhibit exceptional organizational skills. This position is on site daily, and requires a polished, professional, and proactive individual.
Key Responsibilities:
- Provide comprehensive executive support to the CEO, including managing a busy calendar, coordinating meetings, and handling high-level correspondence.
- Serve as the primary point of contact for internal and external stakeholders, ensuring professional, timely, and effective communication.
- Answer calls and route them to the appropriate team members; assist with office coordination and facilities.
- Oversee event planning and management for corporate meetings, conferences, and holiday events, ensuring attention to detail and smooth execution.
- Act as a strategic partner by identifying areas for process improvement, enhancing operational efficiency, and anticipating the CEO's needs before they arise.
- Manage and prioritize multiple tasks and projects simultaneously, adapting to shifting priorities and urgent requests.
- Assist with personal administrative tasks as needed, ensuring seamless day-to-day operations.
- Respond to after-hours requests as required, demonstrating availability and commitment to handling urgent needs.
Qualifications:
- Minimum of 4 years of experience as an Executive Assistant or Administrative Assistant supporting C-Suite executives, preferably within the financial services or corporate finance sector.
- Bachelor's degree strongly preferred.
- Proficiency in MS Office, Google Suite, and Outlook.
- Proven experience in calendar management and booking business travel. (private and commercial)
- Strong organizational and time management skills with the ability to prioritize effectively and adapt to shifting demands.
- A self-starter who takes initiative, enjoys creating efficiencies, and is proactive in identifying and solving problems.
- Ability to remain calm under pressure and pivot seamlessly in response to evolving priorities.
- High level of discretion and professionalism, especially when handling sensitive and confidential information.
Salary Range is highly dependent on experience: $85,000-$100,000 base plus a discretionary bonus and highly competitive paid health benefits.
