The Executive Assistant plays an integral part with the organization by providing the Executive Director with high level administrative support and efficiently completing projects to create a smooth workflow. The ideal candidate will also maintain daily schedules, manage the logistics of Staff and Board meetings and serve as a liaison for the Board of Directors.
RESPONSIBILITES Administrative/Executive Duties Manages the day-to-day business activities of the Executive Director:
- Creates and maintains the Executive Director's schedule on a daily and weekly basis
- Serves as the primary point of contact for all internal and external scheduling requests
- Provides administrative and technology support to the Executive Director
- Provides background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, interviews, etc.
- Manages other duties, as requested
Organizes staff meetings
- Prepares agendas
- Prepares and distributes materials
- Manages logistics, including catering, venues and technology needs
Maintains accurate confidential files and data records according to the organization's retention and destruction policies
Serves as liaison to staff by helping field requests and relaying pertinent information
Manages organization wide calendar for meetings and events
Maintains continuing education spreadsheet for staff
Handles expense reports for Executive office
Board of Directors Serves as a liaison to the Board of Directors
Maintains secure digital folder with all Board documents
Creates and formats statistical graphs and charts for use at Board meetings
Manages logistics, including catering, venues and technology needs of all Board meetings
Records and transcribes Board meeting minutes, in conjunction with the Board Secretary
Provides support to Board committees, as needed
Human Resources Updates all job descriptions for yearly job analysis
Assists Directors with talent acquisition process
Ensures onboarding and offboarding tasks for employees and interns are complete
Coordinates and assists in the planning and execution of employee recognition
Information Technology Coordinates with IT firm to maintain equipment, internet and security
Assists with development of technical project plans, proposals and reports
Serves as a liaison to staff regarding technology needs and issues
Oversees printer, phone and internet service with provider and assists with service issues
Merchandise Manages merchandise to include:
- Maintains digital merchandise order form
- Works with merchandise supplier to coordinate orders
- Ensures all merchandise is delivered in a timely manner
Performs other duties as assigned QUALIFICATIONS AND EDUCATIONAL REQUIREMENTS Required Skills - Ability to professionally interface and engage with diverse groups, staff and volunteers
- Excellent interpersonal, written and oral communication skills
- Ability to handle sensitive and confidential information with the highest level of professionalism
- Strong computer skills (Adobe Acrobat, MS Office Suite, et al)
- Ability to manage multiple priorities and work independently
- High attention to detail
- Adaptable and flexible in a busy environment
Desired Skills - Bachelor's Degree or commensurate experience
- Experience working with the following programs and databases: Microsoft 365, JotForm and Canva

The team includes 17 horses, 26 full and part-time employees, and over 100 weekly volunteers, who together serve over 110 weekly clients.
