Position Overview:
We are seeking a highly organized, detail-oriented Executive Assistant to provide high-level support to the VP of Talent Solutions and the VP of Compensation, with occasional support to up to six director-level leaders. This role requires a professional with a strong background in executive support within large organizations, excellent judgment in handling confidential information, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Provide executive-level administrative support including complex calendar management, meeting coordination, and travel arrangements (preferably using Concur).
- Handle expense reporting, catering, and event planning.
- Draft and edit correspondence, reports, presentations, and spreadsheets with a high degree of accuracy.
- Conduct internet research and assist with compiling data and preparing presentations using PowerPoint, Excel, and other MS Office tools.
- Act as a gatekeeper for calls and meeting requests; exercise sound judgment in prioritization.
- Maintain discretion with sensitive information and exercise a high level of confidentiality and professionalism.
- Train or guide others on administrative systems and processes, as needed.
Qualifications:
- 5-8 years of experience supporting senior executives (VP level or above), ideally within a large corporate environment.
- Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Concur.
- Strong interpersonal and communication skills, with the ability to engage professionally across all levels of the organization.
- Demonstrated ability to multi-task, work independently, and learn quickly.
- Strong problem-solving, analytical, and organizational skills.
- Demonstrated stability in past roles (preference for candidates with long-term assignments).
Additional Details:
- Candidate should be based in Chicago, as onsite work is required Monday-Thursday.
- No strict educational requirement; a bachelor's degree is preferred but not mandatory.
Interview Process:
- Initial phone/video interview with hiring manager (15-30 minutes).
- Final round may include an onsite interview with the VP.
- All necessary equipment will be provided by the company.
