The Executive Assistant (EA) the ultimate right-hand to Elevoque's Founder + Chief Event Officer, acting as an extension of her vision and voice. In this high-impact role, you'll alchemize complexity into clarity-driving operational flow, safeguarding priorities, and creating the conditions for focused, high-level leadership.


More than administrative support, this role is about presence and partnership. You are a trusted guide to the CEO's time, energy, and clarity-helping her stay anchored to the priorities that matter most. With foresight and calm precision, you illuminate the path forward, remove unnecessary friction, and bring structure to a dynamic, fast-moving, and proudly neurodiverse environment.


Key Responsibilities:


Executive Support & Strategic Partnership

  • Act as an extension of the CEO's intention-tracking key decisions, aligning next steps, and ensuring strategic priorities translate into meaningful action.
  • Curate and protect the CEO's time with precision-owning calendar flow, inbox oversight, and communication rhythms to ensure every moment is purposeful and aligned.
  • Serve as a trusted partner-navigating confidential matters with discretion, sound judgment, and the utmost integrity.

Event & Travel Coordination

  • Oversee and execute complex domestic and international travel logistics, ensuring seamless transitions across time zones and agendas.
  • Manage on-site and virtual executive meeting coordination, from agenda development to post-event reporting.
  • Support Elevoque's event operations by assisting in supplier coordination, VIP experience curation, and real-time troubleshooting.
  • Curate hospitality experiences that reflect Elevoque's high-touch service philosophy, ensuring every touchpoint is executed with excellence.

Administrative & Financial Stewardship

  • Work with COO to track Sales + Marketing spend, expense reconciliation, and executive reporting with a high degree of accuracy and attention to detail.
  • Support Sales + Marketing document management, ensuring critical agreements and deposit invoices are organized, tracked, and actioned effectively.
  • Maintain Hubspot and Sales + Marketing related data and proprietary files, always ensuring seamless access to essential information.

Skills and Qualifications

  • 3 - 5 years of experience in executive support, operations, or strategic project management roles, preferably in the events, creative, or hospitality industry.
  • Exceptional ability to manage complex schedules, competing priorities, and high-pressure situations with ease and confidence.
  • Proficiency in Asana, Teams, Hubspot, Canva, Microsoft Office (Word, Outlook, Power Point, Excel), Document Sharing, and CRM tools; experience with Cvent or event tech platforms is a plus.
  • Experience working with ADHD and/or Neurodivergent Leadership is a plus.
  • Superior written and verbal communication skills, capable of distilling complex ideas into clear, compelling messaging.
  • High emotional intelligence, discretion, and a proactive, solution-oriented mindset.
  • Strong problem-solving skills, with the ability to navigate ambiguity and drive initiatives forward independently.
  • Mastery of time management, with an innate ability to anticipate needs and execute with urgency and precision.
  • Ability to travel occasionally to support executive meetings, industry events, and client engagements.
