Detailed Job Description:
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and strategic support to our Chief Executive Officer (CEO) and Chief Marketing Officer (CMO). This is a pivotal role that requires a high level of professionalism, strong judgment, and the ability to anticipate needs in a dynamic, fast-paced environment.
Key Responsibilities
- Provide high-level executive support, including calendar management, scheduling, and meeting coordination for the CEO and CMO.
- Manage and prioritize internal and external communications, ensuring prompt and professional responses on behalf of the executives.
- Prepare high-quality presentations, reports, and correspondence; support executive-level documentation and deliverables.
- Coordinate complex domestic and international travel arrangements, including flights, accommodations, itineraries, and expense reports.
- Assist with planning and execution of executive meetings, board meetings, company events, and leadership offsites.
- Maintain organized systems for tracking documents, records, and confidential information.
- Act as a liaison between executives and internal teams, board members, clients, and external stakeholders.
- Monitor deadlines and deliverables; help ensure the executives are fully prepared for meetings and key initiatives.
- Exercise sound judgment and maintain discretion when handling sensitive company and personnel matters.
- Provide support on special projects and ad hoc tasks as directed by the CEO and CMO.
Qualifications & Skills
- Experience: 5+ years supporting C-suite executives in a fast-paced environment; healthcare industry experience is a plus.
- Education: Bachelor's degree in Business Administration or related field, or equivalent experience.
- Technical Proficiency: Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook); familiarity with Zoom, Teams, and other collaboration tools.
- Communication: Excellent written and verbal communication skills; polished, professional demeanor.
- Organizational Strength: Exceptional time management, prioritization, and multitasking abilities.
- Judgment & Integrity: Ability to handle confidential information with the utmost discretion.
- Initiative: Proactive, solution-oriented mindset; able to work independently and take ownership of responsibilities.
