Schedule: Monday - Friday
Hours: Regular office hours (In-office support is required)

Position Overview

The Executive Assistant will provide high-level administrative support to a private family office and assist the management team. This dynamic role requires exceptional organizational skills, discretion, and the ability to manage diverse tasks in a fast-paced, private office setting.


Responsibilities

  • Serve as a trusted gatekeeper, managing highly sensitive and confidential information with discretion.
  • Oversee the principal's calendar, coordinating complex schedules, meetings, and personal appointments.
  • Arrange domestic and international travel, including family trips, ensuring seamless logistics and itineraries.
  • Act as a liaison between the principal, management team, and household staff, ensuring communication and tasks align with priorities.
  • Manage personal tasks, including coordinating family events, correspondence, and private appointments.
  • Prepare and organize documents, reports, and communications
  • Coordinate special projects, both personal and professional, and oversee their successful execution.
  • Handle personal errands, including managing household needs, scheduling maintenance, and coordinating vendor services.
  • Attend management and family meetings, take minutes, and distribute actionable follow-ups.
  • Maintain and update Standard Operating Procedures for the family office.
  • Ensure records, contact lists, and relevant personal and professional documents are organized and up-to-date.

Qualifications

  • Bachelor's Degree preferred
  • At least 5 years of executive or personal assistant experience, preferably within a private office or high-net-worth (HNW) family setting.
  • Impeccable attention to detail and strong problem-solving skills.
  • Exceptional time management and the ability to prioritize competing demands.
  • Tech-savvy with proficiency in Microsoft Office Suite, Excel, Adobe Acrobat Pro, Zoom, and other relevant tools.
  • Strong interpersonal skills with a positive, proactive approach to problem-solving.
  • Ability to maintain composure under pressure and handle shifting priorities.
  • Valid U.S. work authorization and a valid driver's license.
