This position will be a hybrid work arrangement, which translates to 2-3 days minimum per week in the office.

Join HarbourVest Parters as an Executive Assistant in Boston, MA, where you will play a pivotal role in ensuring the smooth operation of our Marketing team. This role offers a great opportunity to engage with a dynamic team, support senior leadership, and support the success of our firm. The ideal candidate is someone who is:
  • Especially well organized and diligent
  • Proactive and resourceful
  • An excellent communicator, both written and verbal
  • Adept at multitasking and prioritizing tasks efficiently
  • Comfortable working independently and collaboratively
  • Experienced with Microsoft technology tools
  • Familiarity with expense remittance processes and invoices and general accounting practices a plus
What you will do:
  • Schedule meetings and maintain outlook calendars for senior marketing leaders
  • Plan team events, including offsites
  • Coordinate domestic and international travel arrangements
  • Consolidate and submit expense reports as requested
  • Assist with researching new vendors
  • Assist team in coordinating and expediting invoices and serve as primary liaison with accounting
  • Support ad hoc projects
What you bring:
  • Ability to work independently as well as part of a team
  • Ability to interact confidently with all levels within the firm in a professional manner
  • Able to learn quickly and use/navigate several applications and databases
  • Experience with Microsoft technology tools and a willingness to learn additional applications
  • A sense of humor and ability to not take oneself too seriously. We also encourage strong opinions about food and pop culture.
  • Bachelor of Arts (B.A) or equivalent experience
Experience:
  • 5-10 years administrative experience in a corporate setting preferred
