Samaritan's Purse is seeking a Executive Assistant, Administrative Manager to join our IT team in Boone, NC. You can be a part of a highly professional Information Technology team. As a Executive Assistant/Administrative Manager, you will be responsible for providing support to the Vice President, IT and the Senior Director, IT while also overseeing administrative functions across the IT department. A day in the life of a Executive Assistant/Administrative Manager:

In the role of Executive Assistant/Administrative Manager, you will have the opportunity to:
  • Maintain a personal, active relationship with Jesus Christ and is a consistent witness for Jesus Christ.
  • Maintain administrative needs for VP and Senior Director, IT. This includes letters, memos, correspondence, contracts, equipment requests, purchase requisitions, and organizational charts.
  • Coordinate travel arrangements for VP and the Senior Director of IT and update their individual calendars with arrangements. Organize and schedule meetings with staff and guests.
  • Serve as point person for IT administrative functions. Oversee office activities and operations to ensure efficiency and compliance to company policies. Ensure performance of administrative staff by dividing responsibilities and providing adequate training, coaching, and guidance. Prepare expense reimbursement reports for VP, Senior Director, IT and Director of MADP.
  • Assist the Vice President (VP) of Information Technology (IT) and Senior Director, IT. Provide support for IT and Mail & Data Processing (MADP) management staff.
  • Review all purchase requisitions and IT staff expense reimbursement reports for accuracy and adherence to company policies. Manage non-exempt timekeeping approval group set-up and maintenance for IT, and maintenance for MADP staff in Boone and Charlotte. Provide assistance to ensure bi-weekly timesheets are submitted and approved on time.
  • Provide administrative support to IT upper management and staff as needed, including pre-travel authorization preparation, purchase requisitions, follow-up of approvals. Provide administrative support to MADP Boone Director and MADP Charlotte Manager as needed. Monitor and ensure administrative procedures are up to date. Screen calls for the VP, Senior Director, IT International, and other office personnel as needed.
  • Prepare and route documents for Spending Commitment Authority Policy approvals to appropriate staff and departments. Ensure filing systems are maintained and current. Communicate and inform the VP of office concerns that impact staff.
  • Oversee annual and amended budget processes. Ensure budget reports are updated with expenditures. Review monthly department purchasing card reconciliation reports and prepares monthly Billy Graham Evangelistic Association (BGEA) hours report. Act as the primary liaison between headquarters and all other associate offices including the BGEA, Charlotte.
  • All other duties as assigned.

Qualifications & Experience :
  • Bachelor's degree and five (5) to seven (7) years' related experience and/or training; or equivalent combination of education and experience.
