The Idaho Department of Fish and Game is seeking an Executive Assistant to provide administrative to the Director's Office and Idaho Fish and Game Commission. This position is stationed at our headquarters office, situated adjacent to the Boise Greenbelt, the MK Nature Center, and the Kristin Armstrong Municipal Park in Boise. Why IDFG? Coordinates meetings, calendar scheduling, and liaison with constituents, elected officials, and others on the Director's and Deputy Directors' behalf. Provides administrative support for IDFG legislative issues. Provides administrative support for interagency committees and meetings as requested by the Director and Deputy Directors. Commission Support o Schedule Commission meetings, prepare open meeting notices, travel logistics for the Director, Deputy Directors, and Commission members, and coordinate agenda and gold sheet submittal. Tracks legislation and ensures appropriate legal notices are made. Attend Commission meetings and legislative conference calls to provide administrative support and produce minutes. Process travel and expense reports for members of the Commission. Department Land Acquisitions o Work closely with Department staff mitigation biologists and the title companies to prepare closing documents. Administrative Rules. o Provides administrative support for Proposal for Administrative Rules Procedure Forms (PARF), rule filings, rulemaking dockets, and negotiated rule-making procedures. Manages highly sensitive and/or confidential information and issues. Maintains files and electronic databases (Commission/Director's Office related) Reviews and approves payroll, invoices, travel reimbursement forms, purchasing card expenses, and other documents on the Director's and Deputy Directors' behalf, as needed. Draft and coordinate communication from the Director and Deputy Directors to staff. Draft emails and internal memorandums on behalf of the Director and Deputy Directors. Provides backup to the Administrative Assistant in the Director's Office's. Overnight travel to various meetings. Special projects as assigned. Minimum Qualifications: (These qualifications are required.) Experience: Interpreting and applying regulations or policies and procedures (Typically gained by at least one year of work experience interpreting and explaining complex information such as policies, procedures, regulations, or laws. This experience includes explaining discrepancies or having to explain to others how the information applied to their specific situations.) Experience planning, organizing, implementing, and evaluating special projects (Typically gained by at least one year of work or volunteer experience with responsibility for planning, organizing, implementing, and evaluating at least one special project that involved extensive planning and action.) Experience independently researching, compiling, developing, and summarizing material for reports on a frequent or recurring basis (Typically gained by at least one year of work, college, or volunteer experience that required independently researching, compiling, developing and summarizing materials for reports.) Experience analyzing information, identifying problems, defining alternatives and developing recommendations for management/administrators (Typically gained by at least one year of work experience that required information to be analyzed, problems identified, alternatives defined, and recommendations developed for managers. Management problems could have dealt with issues such as resolving staffing, overtime, budget, and/or contract problems, etc., where the problem was determined, files researched, reports reviewed, and different options analyzed.) Minimum Qualification Specialty Areas: (These qualifications are required for the current opening.) Experience taking meeting minutes (Typically gained by at least one year of work experience taking meeting minutes following established standards.)
