Key Responsibilities:
Executive Support & Office Management:
- Coordinate and schedule meetings, events, and conferences, including all travel arrangements for the CEO.
- Act as the primary point of contact for vendors, service providers, and office visitors.
- Oversee daily office operations to ensure a productive and efficient work environment.
- Prepare materials and presentations for executive meetings.
- Organize, file, and maintain important documents, records, and files.
- Maintain confidentiality of sensitive information.
- Handle personal tasks for the CEO, including managing appointments, making reservations, and organizing personal events.
- Manage office supplies and reorder as necessary to maintain adequate stock levels.
- Serve as the primary liaison for building property management.
- Ensure office cleanliness, adherence to safety protocols, and compliance with safety regulations.
- Track timelines, deliverables, and milestones to ensure deadlines are met.
- Utilize communication platforms (e.g., Slack) to relay pertinent information to the team.
HR & IT Support:
- Maintain employee records and update HR databases (via Gusto platform).
- Assist with the onboarding process for new hires, including document preparation and training coordination.
- Support payroll processing and benefits administration.
- Handle confidential employee information and ensure compliance with HR policies.
- Organize employee performance reviews and track compliance with training programs in collaboration with the CEO and EVP.
- Serve as the first point of contact for IT-related issues, working with external vendors.
- Ensure that hardware and software are well-maintained, updated, and functioning properly.
- Maintain the organization of SharePoint and other electronic file storage systems.
Financial Administration:
- Assist with expense reports, budget tracking, and other financial administrative tasks in collaboration with external financial partners.
Marketing Support:
- Oversee the creation and regular updates of the company website (via Squarespace).
- Manage and develop the company's social media presence to enhance engagement and brand awareness.
Qualifications & Skills:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong organizational skills and the ability to multitask effectively.
- Familiarity with IT troubleshooting and office technology management.
- Proficiency in Squarespace, SharePoint, Gusto, Microsoft Outlook, GoDaddy, Excel, Slack, and Bitwarden (or similar platforms).
- Exceptional oral and written communication skills.
- Ability to work independently, meet tight deadlines, and take initiative.
- High level of discretion and the ability to handle sensitive information confidentially.
