A Brief Overview The Administrative and Facilities Assistant supports day-to-day office operations and ensures the smooth functioning of administrative and facilities services. This role includes general office support, facilities coordination, inventory management, and ensuring a safe, clean, and organized work environment. The Administrative and Facilities Assistant should be proactive, detail-oriented, and capable of managing multiple tasks efficiently.
What you will do - Collaborates with various teams with tasks which may include: taking meeting minutes, arranging meetings, reviewing/ editing documents, assisting with/ updating policies and procedures, and scheduling meetings.
- Mange projects collecting/updating information from multiple sources.
- Provide general administrative support including filing, data entry, and incoming correspondence. This includes mail and courier services.
- Assist with scheduling meetings, booking rooms, and preparing materials. Coordinate schedules and appointments, developing agendas, preparing materials, maintains files, managing vendor services. Make travel arrangements including, but not limited to ordering tickets, making and confirming lodging and airlines reservations and car rentals.
- Monitor and manage office supplies inventory; reorder as needed.
- Support health and safety compliance and workplace standards. Maintain cleanliness and organization of shared office areas.
- Assist with new employee onboardings (e.g., desk setup, keys, badges).
- Support event planning and logistics for company meetings or office activities.
- Manage corporate plane and pilot schedules.
- Schedule building contractor appointments and requests for service including office maintenance, plumbing, heating, cooling and electrical, landscape (snow/ice removal), cleaning, trash collections, security and fire safety systems.

Required Education, License/Certification, or Work Experience: - 3-5 years of experience in administrative or facilities related role.
- Exceptional organizational, written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to handle multiple priorities and work indepentendly.
- Customer service- oriented mindset and problem- solving attitude.
Preferred Education, License/Certification, or Work Experience: - Associate's or equivalent from two-year college or technical school; or equivalent combination of education and experience.
