Adecco Staffing is assisting in the recruitment for an
Executive Level Administrative Assistant for a local government agency. Under the direct supervision of the Deputy Executive Director, this position is responsible for planning, organizing, and overseeing the operations and functions of the Executive Office. The role provides high-level administrative support to the Executive Management Team, Commissioners, staff, and the general public. Pay range is from $26-35 hourly.
Essential Duties and Responsibilities - Provide executive-level administrative support, managing office activities and recommending procedural improvements.
- Support the Boards of Commissioners and affiliated entities by preparing and distributing agendas, minutes, resolutions, and reports.
- Coordinate calendar management for the CEO and other executives, ensuring smooth scheduling and communication.
- Handle correspondence, including drafting and proofreading reports, memoranda, and other official documents.
- Assist with meeting coordination, including logistics, document preparation, and agenda creation.
- Process invoices, expense reimbursements, and travel arrangements for executive staff and board members.
- Oversee office procedures, filing systems, and executive email inboxes, ensuring timely follow-ups.
- Manage meeting room scheduling and address any facility-related concerns.
- Maintain confidentiality and ensure compliance with agency standards regarding records and materials.
- Provide notary services as needed.
- Perform other duties as assigned.
Qualifications - High School diploma or equivalent (GED).
- Minimum of two (2) years of experience in an executive-level administrative support role.
- Strong organizational, communication, and problem-solving skills.
- Proficiency in Microsoft Office Suite and other administrative software.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Valid California driver's license and ability to be insured under the agency's automobile insurance plan.
- Ability to obtain a Notary Public Commission within one year of hire.

Pay Details: $26.00 to $35.00 per hour
