Job purpose

Responsible for supporting the day-to-day operations of the Corporate Office, while providing executive level support to executive leadership and advisors. Provides exceptional customer service to guests and callers. Provides notary service, manages on-site seminars, schedules appointments on behalf of seminars, and works with local property management team to ensure office is operating/functioning properly. Provides support to company events. The Executive Administrator is also empowered to make independent decisions as required.

This role would be on-site at our corporate office in Scottsdale.

Duties and responsibilities
  • Acts as the initial point of contact for office
  • Maintains a schedule of 8:00 a.m. - 5:00 p.m.
  • Provides executive level administrative support to executive leadership and advisors.
  • Leads and manages onsite seminars.
  • Answers all calls for the office.
  • Meets and greets all guests.
  • Daily workflow updates made to CRM system.
  • Develops relationship with various vendors and property management to support office requirements.
  • Assist with employee events.
  • Provides administrative support as required.
  • Works with confidential financial and employee information.
  • Is empowered to make independent decisions as required.
  • Interacts with all levels of the organization, as well as, all departments based on administrators work activities.
  • Orders required supplies and maintains inventory.
  • Reconciliation and billing.
  • Maintains office cleanliness and professional appearance.
  • Supports other duties as required.
Qualifications
  • Associate degree or related experience.
  • 5-years of executive level administrative support.
  • Notary license/stamp (preferred)
  • Office management experience preferred.
  • Proficiency in Microsoft Office Suite required.
  • Salesforce experience a plus.
  • Excellent organizational and analytical skills.
  • Strong verbal and written communication skills.
  • Ability to follow complex written and verbal instructions.
  • Strong problem-solving skills, attention to detail, an ability to work effectively under pressure and within short time constraints, resourcefulness and able to deal with ambiguity, prioritize while multi-tasking and maintain flexibility in the performance of the job responsibilities.
  • Ability to adapt to changing circumstances while continuing to have professional and positive interactions.
  • Event coordinating experience a plus.
