Executive Assistant Location: San Francisco Financial District
Salary: Up to $175K
We are seeking an Executive Assistant to support and work alongside top-level executives. The successful candidate will be a great communicator and expert multi-tasker, with the ability to prioritize, anticipate needs, and maintain a high level of discretion at all times.
Responsibilities: - Provide comprehensive administrative support to the Founding Partner, Operational Partner, and supporting associate, who are involved in portfolio management, private investments, and various for-profit and non-profit Boards.
- Manage and track complex calendars for the Founding Partner, Operational Partner, and supporting associate, requiring prompt and tactful responsiveness to inquiries and changes as they arise.
- Monitor and manage the Founding Partner's and Operational Partner's email accounts, including sorting, flagging, and responding on behalf of the Partner.
- Book and track the Partners' travel logistics, including flights, accommodations, and/or transportation.
- Keep the Partners well informed of upcoming commitments, follow up when appropriate, and communicate changes when plans pivot.
- Schedule and coordinate meetings, calls, and video conferences with internal and external participants.
- Frequently assist Partners with personal matters.
- Oversee expense management and reporting.
- Serve as the internal and external point of contact for the Partners.
- Collaborate with Administrative colleagues to streamline processes and coordinate general office duties such as processing mail, report creation, etc.
Qualifications: - 5+ years of experience in a support role to senior-level executives.
- Bachelor's Degree.
- Experience supporting high level Financial Partners
- Exceptional teamwork, communication, and interpersonal skills.
- Ability to work independently with minimal supervision.
- Highly organized and efficient with extraordinary attention to detail and ability to prioritize.
- Resourceful, reliable, and adaptable.
- Embodies a positive attitude and collegial demeanor.
- Ability to adapt quickly and positively to changes in priorities or schedules.
- High level of competence with Microsoft Office, particularly Outlook.
- Maintain confidentiality and utilize discretion when working with sensitive information.
