Job Summary: The Executive Administrative Assistant provides high-level support to executives, ensuring smooth daily operations and effective time management. This role involves handling confidential information, managing calendars, coordinating meetings, preparing reports, and overseeing administrative tasks to enhance executive efficiency.
Key Responsibilities: - Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for executives.
- Communication Management: Screen calls, respond to emails, and act as a liaison between executives and internal/external stakeholders.
- Meeting Coordination: Prepare agendas, take meeting minutes, and follow up on action items.
- Document Preparation: Draft, proofread, and edit correspondence, reports, and presentations.
- Project Support: Assist with special projects, research tasks, and presentations.
- Confidentiality Handling: Manage sensitive company information with professionalism and discretion.
- Office Operations: Oversee office procedures, supplies, and technology needs for executives.
- Expense Management: Track budgets, process invoices, and handle expense reports.
- Event Planning: Coordinate corporate events, board meetings, and executive retreats.
- Stakeholder Relations: Serve as the point of contact for high-profile clients, vendors, and company leadership.
Requirements & Qualifications: - Bachelor's degree in Business Administration or a related field (preferred).
- 3+ years of executive administrative support experience.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Ability to maintain confidentiality and professionalism.
- Experience in scheduling, travel coordination, and document preparation.
- Problem-solving and critical-thinking skills.
- Adaptability in a fast-paced work environment.
