Summary The Executive Administrator provides high level administrative support to the President & CEO and COO while serving as the primary liaison to the Board of Directors. This role ensures seamless coordination of executive and governance functions, supporting leadership effectiveness with confidentiality and professionalism. A non-exempt position, the Executive Administrator reports to the Director of Administration and collaborates across departments to advance organizational priorities.
Essential Functions Executive & Administrative Support (55%)
- Manage the daily schedule, travel arrangements and correspondence for the President & CEO and COO.
- Draft, edit, and proofread documents, including reports and presentations.
- Coordinate and prepare for meetings, including agendas, minutes, and following up on actions.
- Conduct research and compile briefing materials.
- Serve as a primary point of contact for internal and external stakeholders.
- Support cross-functional projects and staff coordination efforts. Maintain confidential and sensitive information.

Board Liaison & Governance Support (25%)
- Serve as the primary administrative liaison to the Board of Directors, ensuring smooth communication and coordination.
- Schedule meetings, prepare materials, and manage logistics for Board and committee meetings.
- Maintain Board records, including minutes, resolutions, and governance documents.
- Support Board committees and execute established procedures for Board recruitment, elections, onboarding,and offboarding.
Technology, Events & Organizational Support (20%)
- Assist with office operations, event planning, and donor engagement activities.
- Manage digital collaboration, CRM, and meeting tools (e.g., Microsoft Office, Google Workspace, Slack, Zoom, Teams).
- Support internal & external communication through email platforms, website CMS, and social media tools.
- Troubleshoot basic IT issues and coordinate with IT support as needed.
- Other duties as assigned to support organizational needs.
Requirements
Knowledge, Skills and Abilities - 5+ years of executive-level administrative support experience, preferably in a nonprofit setting.
- Strong organizational, communication, and time-management skills.
- High level of professionalism, discretion, and confidentiality.
- Proficiency in Microsoft Office Suite, Google Workspace, Slack, and CRM software.
- Ability to manage virtual meeting platforms and adapt to new digital tools.
- Proficient in setting up computers and coordinating with IT for troubleshooting and support
- Experience supporting a Board of Directors preferred.
- Ability to work independently and collaboratively in a dynamic environment.
- Passion for conservation and Openlands mission preferred.
