Hive Group is seeking a highly skilled Executive Administrative Assistant to provide senior-level executive support to high-ranking officials within a complex and fast-paced federal defense environment. The ideal candidate will have demonstrated expertise supporting senior executives in government, military (DoD Flag/General Officers), or private sector organizations, and must be comfortable working in environments with competing priorities, sensitive information, and dynamic schedules.

This role requires discretion, professionalism, and exceptional organizational and communication skills. The selected candidate will be responsible for managing critical administrative workflows, coordinating executive-level meetings and briefings, processing high-volume travel arrangements, and maintaining efficient office operations for top-tier leadership.

Key Responsibilities:
  • Provide full-spectrum executive-level administrative support to Senior Executives, including high-ranking officials in federal agencies or military components.
  • Manage daily calendars, coordinate complex scheduling, and deconflict high-level meetings across multiple stakeholders.
  • Prepare and process domestic and international travel authorizations and vouchers using Defense Travel System (DTS).
  • Maintain records and administrative trackers using Correspondence and Task Management System (CATMS) and ensure timely completion of taskers, correspondence, and deliverables.
  • Draft, edit, and format official correspondence, presentations, and reports using Microsoft Office Suite (Word, Excel, PowerPoint).
  • Facilitate meeting logistics, develop agendas, record meeting minutes, and track follow-up actions.
  • Handle sensitive and classified information with discretion and in accordance with security protocols.
  • Act as liaison between senior leadership and internal/external stakeholders.
  • Maintain awareness of ongoing organizational priorities to proactively support leadership needs.
Minimum Requirements:
  • Active Top Secret clearance with SCI eligibility is required.
  • Bachelor's degree from an accredited college or university; In lieu of a degree, twelve (12) years of relevant executive administrative experience may be substituted.
  • At least 10 years of executive-level administrative support experience to Senior Executives in the Federal Government, Military (DoD Flag / General Officers), or Private Sector.
  • Minimum 2 years of experience in high-level environments comparable to the Office of the Secretary of Defense (OSD) or a military service component.
  • Proven track record supporting executive principals with high-quality, timely, and proactive administrative support.
  • Highly proficient with DTS and CATMS.
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint.
  • Demonstrated ability to manage priorities in a fast-paced, high-stakes environment with exceptional critical thinking and problem-solving abilities.
  • Familiarity with defense organizational structures and protocols.
  • Experience handling classified materials and operating in secure environments.
  • Strong interpersonal skills and ability to engage with senior military and civilian personnel.
Compensation and Benefits

The estimated compensation range for this position is between $110,000 and $125,000 annually, based on benchmarks in the Washington, D.C. metropolitan area. This range reflects a good faith estimate for all experience levels.
