ROLE
We are seeking an experienced Executive Administrative Assistant to support the Federal Retirement Thrift Investment Board (FRTIB) in Washington, D.C. Your responsibilities will focus on providing dependable, on-site administrative support to senior staff, ensuring effective scheduling, meeting coordination, mail tracking, document preparation, and overall office functionality within a secure federal environment.

RESPONSIBILITIES
  • Receive and screen incoming telephone calls and visitors, determine the nature of contact, and refer or address appropriately
  • Invite customers to complete the administrative support satisfaction survey
  • Compile and organize essential materials for the Director in advance of appointments
  • Receive, sort, and log incoming mail; determine handling and distribute accordingly
  • Arrange meetings and conferences for the Director with staff and external officials
  • Notify participants, reserve meeting space, resolve logistics, and prepare materials
  • Attend meetings and record notes, attendance, and minutes when requested
  • Follow up after meetings to ensure assigned actions and commitments are addressed
  • Coordinate all travel arrangements for the Director and other office staff
  • Establish and maintain office files, determining storage needs and file structure
  • Use computers and software applications to prepare documents and presentations
  • Review and distribute emails, track action items, and manage databases and records
  • Manage administrative functions (e.g., purchase requests, requisitions, and subscriptions)
  • Maintain and order office supplies and equipment
  • Perform timekeeping functions
  • Coordinate telephone and equipment installation and repair
  • Oversee office space and furniture-related issues
  • Demonstrate proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook, Forms)
  • Ensure all deliverables are clear, concise, and free of grammatical or spelling errors

KNOWLEDGE & SKILLS
  • Knowledge of office administration practices, recordkeeping, and workflow coordination preferred
  • Knowledge of Microsoft Office (e.g., Word, Excel, Outlook, PowerPoint, Forms, etc.) preferred
  • Skill in scheduling, meeting coordination, and managing action items preferred
  • Skill in drafting, formatting, and reviewing written communications and reports preferred
  • Skill in handling multiple tasks and supporting senior leadership with professionalism preferred
  • Speak, read, and write English fluently required
BACKGROUND
  • Experience providing administrative support in a professional office or government setting preferred
  • Experience managing calendars, coordinating travel, and preparing materials for meetings preferred
  • Experience processing mail, maintaining files, and tracking data across multiple systems preferred
  • Experience in the Federal or public sector preferred
EDUCATION
  • Bachelor's degree preferred

Other Considerations. Applicants will be subject to a background investigation. Individual's primary workstation is located in an office area. The noise level in this environment is low to moderate. Regularly required to sit for extended periods up to 100% of the time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc. Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs. Specific vision abilities required by this job include the use of computer monitor screens up to 100% of the time.
