Executive Administrative Assistant
Location: Skokie, IL

They provide accounting, tax, and business consulting services to individuals, small business owners, and entrepreneurs. With a specialty in real estate accounting and a "One Firm Way" approach, the firm delivers high-quality, customized solutions to clients locally and nationwide.
This Executive Assistant role is a key part of the firm's leadership team, supporting the CEO and COO and helping reinforce the firm's culture, mission, and values.
Key Responsibilities Include:
Executive Support
- Manage calendars and scheduling for CEO and COO
- Monitor voicemail and handle general inquiries
- Coordinate internal and client-facing events
- Time entry, project tracking, and staff hours review
Sales, Marketing & Client Support
- Coordinate email campaigns and maintain contact databases
- Liaise with third-party marketing consultants
- Support sales forecasting and pipeline reporting
- Manage proposals and sales meeting follow-ups
- Track leads, prospects, and referrals in CRM
- Assist with client introductions and outreach templates
Database & Technology Support
- Maintain and clean up firm databases
- Perform data entry (leads, prospects, affiliates, referrals)
- Assist with SafeSend Exchange and Signature tools
- Help prepare and send engagement letters
Qualifications
- Experience supporting business development or in a professional organizer role
- Strong organizational, communication, and time management skills
- Ability to multitask, prioritize, and work independently
- Excellent written and verbal communication skills
- Strong analytical and problem-solving abilities
