Our client is seeking a polished and experienced Executive Assistant to support our leadership team through general administrative, clerical and organizational management duties.

This company specializes in commercial real estate development and this is a full-time role, working out of our Renton office (hybrid remote - potential for 1 or 2 days remote) and supporting the leadership group across the country.

Duties:

Project Tracking
  • Track progress on tasks and projects, create calendar holds, and follow up on deadlines as needed.
Meeting & Event Coordination:
  • Organize and book meetings, conferences, and in-person gatherings.
  • Support event planning, including catering and logistics.
  • Provide administrative support including document retention, and meeting planning.
  • Develop agendas and materials as requested, ensuring timely preparation and distribution.
  • Attend meetings to take notes and manage internal follow-ups.
Support:
  • Coordinate with the team to compile material for multiple Boards and Committees.
  • Manage Board Meetings logistics, produce minutes, and ensure proper follow-up.
  • Assist with travel arrangements and scheduling
  • Act as a liaison for obtaining signatures and other executive needs.
  • Manage master calendars and PTO tracking for subsidiaries as needed.
  • Handle clerical tasks such as faxing, filing, scanning, typing, creating/editing documents, and running errands.
  • Conduct other miscellaneous tasks as requested by management.
Marketing & Communications:
  • Collaborate with Comms to assist in creating basic marketing materials to support project initiatives and company branding.
  • Facilitate communication via phone, email, letters, and in-person interactions with clients, vendors, building management, and employees.
Office Management:
  • Provide general office support, including managing supply inventory, sorting and routing mail, greeting visitors, and managing conference rooms.
  • Maintain digital file systems.
  • Identify and implement administrative systems and procedures to streamline office operations.
Other Duties as Assigned:
  • Be adaptable and willing to take on additional responsibilities as they arise to support the team and company operations.
Qualifications:
  • Bachelors' Degree preferred. High school diploma with additional work experience may be a substitute.
  • 5+ years of experience in an administrative role, preferably in a commercial construction or engineering firm.
  • Experience in event planning and project management is a plus.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills and the ability to manage multiple priorities effectively.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and a high level of accuracy in all tasks.
  • Ability to work independently and collaboratively within a team.
  • Knowledge of project management principles and terminology is a plus.
  • Flexibility and adaptability to meet changing priorities and deadlines.
  • Self-starter with a positive, team-oriented attitude with ability to independently develop viable solutions to problems as they arise.
  • Gracefully handle pressure to remain a constantly reliable resource to management.
