Our client is seeking a polished and experienced Executive Assistant to support our leadership team through general administrative, clerical and organizational management duties.
This company specializes in commercial real estate development and this is a full-time role, working out of our Renton office (hybrid remote - potential for 1 or 2 days remote) and supporting the leadership group across the country.

Duties:
Project Tracking
- Track progress on tasks and projects, create calendar holds, and follow up on deadlines as needed.
Meeting & Event Coordination:
- Organize and book meetings, conferences, and in-person gatherings.
- Support event planning, including catering and logistics.
- Provide administrative support including document retention, and meeting planning.
- Develop agendas and materials as requested, ensuring timely preparation and distribution.
- Attend meetings to take notes and manage internal follow-ups.
Support:
- Coordinate with the team to compile material for multiple Boards and Committees.
- Manage Board Meetings logistics, produce minutes, and ensure proper follow-up.
- Assist with travel arrangements and scheduling
- Act as a liaison for obtaining signatures and other executive needs.
- Manage master calendars and PTO tracking for subsidiaries as needed.
- Handle clerical tasks such as faxing, filing, scanning, typing, creating/editing documents, and running errands.
- Conduct other miscellaneous tasks as requested by management.
Marketing & Communications:
- Collaborate with Comms to assist in creating basic marketing materials to support project initiatives and company branding.
- Facilitate communication via phone, email, letters, and in-person interactions with clients, vendors, building management, and employees.
Office Management:
- Provide general office support, including managing supply inventory, sorting and routing mail, greeting visitors, and managing conference rooms.
- Maintain digital file systems.
- Identify and implement administrative systems and procedures to streamline office operations.
Other Duties as Assigned:
- Be adaptable and willing to take on additional responsibilities as they arise to support the team and company operations.
Qualifications:
- Bachelors' Degree preferred. High school diploma with additional work experience may be a substitute.
- 5+ years of experience in an administrative role, preferably in a commercial construction or engineering firm.
- Experience in event planning and project management is a plus.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills and the ability to manage multiple priorities effectively.
- Excellent communication skills, both written and verbal.
- Attention to detail and a high level of accuracy in all tasks.
- Ability to work independently and collaboratively within a team.
- Knowledge of project management principles and terminology is a plus.
- Flexibility and adaptability to meet changing priorities and deadlines.
- Self-starter with a positive, team-oriented attitude with ability to independently develop viable solutions to problems as they arise.
- Gracefully handle pressure to remain a constantly reliable resource to management.
