The Executive Administrative Assistant (EA) is responsible for providing comprehensive administrative support to the Head of Late Development, Hematology and senior leaders of this team.
Key Responsibilities: - Maintain complex and highly fluid calendar coordination, including scheduling and arranging meetings with internal and external partners
- Prepare documents of a highly confidential and sensitive nature such as presentations, memos and correspondence, expense reports
- Prepare international and domestic announcements for distribution - create and maintain SLT email list
- Closely partnering with internal teams to create and distribute pre-reads and training materials
- Domestic and international travel arrangements
- Tracking communications and gathering analytics
- Event coordination:
- including identification of off-site and/or on-site locations, procurement of meeting requirements, drafting of attendee list, sending invitations to attendees, creating name badges, tent cards, sign-in sheets, and entering off-site attendees into ivisitor system
- Liaison with PMO personnel for CDTs (TEC, TAL, & Tri-specific) to order catering, team supplies, room set up, and team building activities - expensing items to team project codes.
- Work with External Partners and KOLs to set up contracts, coordinate IRC, IDMC and steering committee meetings, process invoices and resolve questions
- Proficiency at utilizing and innovating on current technology platforms, including Zoom, Teams, Adobe, Slack, Excel, Outlook, PowerPoint, Word, web page navigation, Concur, SharePoint, Yammer, WebEx (BT meetings), Skype, Global Connect, Workday, Our Source, e-marketplace, selecting apps for meetings, getting apps approval through Apple Store, leveraging tablet and phone device capabilities, and loading content into apps for meetings.
- Coordinating and administering Global Services Service Excellence & Experience engagements by managing statements of work and purchase orders; tracking expenditures and follow-up on actual expenses in variance reports; processing invoices and tracking against monthly reports; developing periodic reporting and communicating purchase order status reports
- Record Coordinator for Oncology R&D at the Raritan campus - provide guidance in archiving information in STAR/GREATS systems
- 920 Oncology R&D Ambassador for the 2100 Neighborhood and point of contact for the Restriction of Team Den Conference Room
- Fostering positive relationships while interacting with staff and various levels of management from within and outside of Johnson & Johnson to provide or gather information often of a sensitive nature.
- Building strong relationships with administrative professional within the Oncology organization to ensure efficient and effective collaboration fostering an atmosphere of engagement as well as with EAs of other management team members
- Achieving results in the absence of day-to-day guidance
- Maintaining strict confidentiality and exercising independent discretion and judgment to solve complex problems.
- Assist with Oncology TA projects, such as Summer Internship Program, High School programs and any other
Requirements: - A minimum of a high school diploma is required, and an Associate's or Bachelor's Degree is preferred
- A minimum of 7 years of experience supporting senior management is required
- Ability to anticipate executive needs and collect or prepare information for executive review and action, with strong organizational skills and attention to detail required
- Ability to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile, and rapidly changing environment is required
- Experience with MSOffice required. Ariba, eMarketplace, Aravo, Concur, Totality, and/ or running budgets is highly preferred
- Computer and systems savvy and foundational strength at process improvement and financial analysis is required
- Excellent oral and written communication skills is required
- Strong leadership, interpersonal, collaboration, analytical and problem-solving skills is required
