Job Summary:

We are seeking a highly skilled and proactive C-Suite Executive Administrative Assistant to provide exceptional support to our executive leadership team. This role demands superior organizational skills, keen attention to detail, and the ability to handle sensitive information with the utmost discretion. The ideal candidate will excel at managing complex schedules, facilitating communication, and ensuring seamless operation of executive-level activities.

Duties/Responsibilities:
  • Manage travel arrangements, itineraries, and scheduling for C-Suite executives.
  • Handle expense reimbursements and credit card receipt tracking.
  • Maintain and coordinate key player calendars, ensuring seamless scheduling.
  • Set up and take down meetings, including preparation of materials and technology coordination.
  • Record meeting minutes and track action items for timely follow-up.
  • Compose, edit, and proofread email communications, presentations, and reports.
  • Assist in preparing presentations, reports, and other executive documentation.
  • Plan and coordinate executive company events and conferences.
  • Serve as a gatekeeper, managing access to key players and ensuring efficient communication.
  • Track and manage PDH (Professional Development Hours) and license renewals for C-Suite executives.
  • Provide administrative support for executive projects, including research, data analysis, and compiling reports.
Education and Experience:
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Proven experience as an Executive Administrative Assistant, preferably supporting C-Suite executives.
  • 5+ years of daily use of Microsoft Office is required
Required Skills/Abilities:
  • Strong organizational, communication, and interpersonal skills.
  • Ability to work effectively in a fast-paced, high-pressure environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • High level of professionalism, discretion, and attention to detail.
  • Excellent time management skills with the ability to prioritize tasks effectively.
