Job Summary:
The Support Coordinator provides high-level administrative and strategic support to the company's ownership helping to facilitate a variety of critical responsibilities. This role requires exceptional organizational skills, discretion, and proficiency in digital tools to manage complex schedules, projects, and priorities in a fast-paced, tech-driven environment. This person will be a key resource for company ownership and senior leadership to help facilitate a calm, efficient and reliable working environment. The role is expected to evolve and grow in the following years as the person establishes themselves, earning trust and credibility amongst ownership and company leadership.

Key Responsibilities:
  • Calendar & Schedule Management: Leverage digital tools (e.g., Google Calendar, Microsoft Outlook, or scheduling apps) to coordinate and manage the ownership's schedules, including meetings, travel, and personal commitments, ensuring accuracy.
  • Meeting & Event Coordination: Plan, coordinate and execute high-level meetings, board sessions, and company events using virtual conferencing tools (e.g., Zoom, Microsoft Teams) and project management software, preparing digital agendas, materials, and follow-up actions.
  • Project Support: Assist with strategic initiatives by utilizing digital research tools, data analytics platforms, and presentation software (e.g., Word, PowerPoint, Excel) to create reports, dashboards, and actionable insights.
  • Confidentiality & Discretion: Handle sensitive information with utmost confidentiality, ensuring secure use of cloud-based storage and communication platforms.
  • Travel logistics: Manage travel arrangements using online booking tools and apps for flights, car rentals, hotels, etc.
  • Digital office management: Oversee administrative tasks using cloud-based systems for document management (e.g., Google Drive, Dropbox), expense tracking, and cross-departmental coordination to support ownership's objectives.
Qualifications:
  • 5+ years of experience as an executive assistant, project manager or similar role, ideally supporting C-suite executives or business owners in a digitally focused environment.
  • Advanced Digital Savviness: Proficiency in Microsoft Office Suite, Google Workspace, virtual meeting platforms (Zoom, Teams), project management tools (Asana, Trello), and CRM systems. Familiarity with social media management and basic data analytics tools (e.g., Google Analytics) is a plus.
  • Exceptional organizational and time-management skills with a proven ability to prioritize in a tech-driven setting.
  • Strong verbal and written communication skills, with attention to detail and professionalism in digital correspondence.
  • High level of discretion and ability to manage confidential information securely.
  • Flexibility to work outside regular hours and travel as needed.
  • Knowledge of the retail or furniture industry is a plus but not required.
