Community Housing Initiatives, Inc. (CHI) is seeking an Executive Administer Assistant to be part of an innovative team that directs affordable housing initiatives across the state of Iowa. This critical position is responsible for enhancing CHIS ability to achieve Strategic Plan goals by providing a communication bridge between Board of Directors, Senior Leadership, staff, partners, and funders. The Executive Administrator office is in Des Moines East Village.
The ideal candidate will possess strong strategic and logistical skills and be a team builder. They must have the ability to thrive in a fast-paced environment, execute tasks at a high-level, be proactive, and uber organized. Working experience as an administration assistant is required.
CHI is Iowa's largest non-profit developer of affordable housing. Our team creates housing solutions to meet community needs and provides comprehensive services for residents. Since 1993, CHI has established itself as one of the most successful developers and managers of affordable rental housing in Iowa, generating and preserving homes for Iowans of all ages and abilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Enhance CHI's ability to achieve Strategic Plan goals by providing a communication bridge between the Board of Directors, Senior leadership, staff, partners, and funders by drafting clear and concise letters, emails, and memos.
2. Assist Chief Innovation Officer in outreach activities, including dissemination of available unit and program information to community partners.
3. Work with Chief Innovation Officer to plan and manage logistics for events including groundbreakings, grand openings, staff retreats and special celebrations. Duties will include securing sites, sending invitations, menu planning, hotel reservations and travel needs.
4. Development and implement systems to improve organizational efficiency and productivity.
5. Support on-boarding for new staff and Board of Directors and administer materials and procedures.
6. Manage ordering and distribution of computers, communications equipment, business cards and CHI logo garments.
7. Responsible for Des Moines office administration including daily operations, office supplies, scheduling and coordinating building maintenance services.
8. Work with CEO to facilitate CHI Board meetings and retreats, including planning, preparation, meeting minutes, distribution of information, and correspondence.
9. Responsible to coordinate CEO, CIO and Board Member schedules, accommodations, travel, and registrations.
10. Work with CHI Team to assure alignment and execution of goals and adherence to CHI's mission, helping prioritize conflicting needs.
11. Coordinate special projects for the organization, including information gathering for procurement of new services, organizing strategic planning, and NeighborWorks Organizational Assessments.
12. Meticulously maintain records, assuring hard copies are properly stored and images of documents are properly uploaded to servers for protection.
13. Attend trainings and meetings as required, in locations driven by needs of the organization.
14. Job-related duties and responsibilities may be added, deleted, or changed at the discretion of management as required by the organization.
QUALIFICATIONS:
1. BA/BS or over 5 years of experience as C-Suite Executive Administrative Assistant required.
2. Proficient in Microsoft Office (Outlook, Excel, Word, and Power Point), Adobe Acrobat, audio/visual communication equipment and social media.
3. Exceptional organizational skills, with the ability to deftly manage problems as they arise.
4. Ability to remain flexible, proactive, resourceful, and efficient, with a high level of professionalism. Confidentiality is critical in this role.
5. Excellent communication skills, verbal and written, strong decision-making ability and attention to detail are essential.
6. Ability to comply with federal, state, and local fair housing laws and regulations.
7. Ability to perform moderate heavy physical work, exerting up to 30 pounds of force on occasion, up to 15 pounds frequently, and up to 5-10 pounds constantly, walking, pushing, pulling, lifting, grasping, including duties requiring repetitive motion skills, such as computer and calculator work.
