  • The base annual salary range for this position is budgeted at $55,000 - $70,000.

Position Summary

We are seeking a highly organized and proactive Executive Administrative Assistant to provide critical support to our CEO in our Dallas, Texas office. This role is ideal for someone who is detail-obsessed with a strong administrative foundation who thrives in a dynamic, fast-paced environment and aspires to grow into an Executive Assistant position. You will help keep operations running smoothly by managing calendars, meetings, communications, and special projects. If you're energized by structure, systems, and proactive problem-solving - and want to make a tangible impact at the executive level - this role might be for you. This position offers an exciting opportunity to work closely with leadership, develop advanced executive support skills, and contribute to strategic initiatives.

This is a full-time role, with approximately 80% of your focus supporting CareGuide and 20% supporting strategic initiatives led by our CEO.

Key Responsibilities
  • Manage the CEO's calendar, schedule meetings, and coordinate logistics across teams and time zones.
  • Organize travel arrangements and prepare detailed itineraries.
  • Monitor and prioritize incoming emails and correspondence.
  • Prepare materials for meetings, including agendas, notes, and follow-ups.
  • Collect billable tasks each month from Asana to translate into time entry.
  • Support the planning and execution of leadership meetings and company events.
  • Serve as a liaison between the CEO and internal teams, ensuring smooth communication.
  • Maintain confidentiality and handle sensitive information with professionalism.
  • Assist with research and information gathering for projects.
  • Support cross-functional coordination of key initiatives as needed.
Position Requirements
  • 2-3 years of administrative experience, preferably supporting senior leadership.
  • A high school diploma or GED is required. A bachelor's degree is preferred.
  • Prior experience in a start-up, early-stage, or high-growth environment is a plus.
  • Detail-oriented, highly organized, and proactive.
  • Strong written and verbal communication skills.
  • Ability to prioritize, multi-task, and adapt in a fast-moving environment.
  • Comfortable with Microsoft Outlook, Teams, Zoom, Asana, and other project management or communication tools.
  • High level of professionalism, discretion, and emotional intelligence.

Physical Demands

Essential functions are the job responsibilities an employee must be able to perform, with or without reasonable accommodation. Work Environment

This position operates in a hybrid work environment. Employees may work from a home office or report to a designated office space as needed. The role routinely uses standard office equipment such as computers, phones, and printers. A reliable, high-speed internet connection is required for remote work to ensure consistent access to company systems, video conferencing, and communication tools. Employees are responsible for maintaining an internet service that supports secure, uninterrupted connectivity to meet performance expectations.
