Summary of Position (Job Purpose) - Major purpose and functions of the position.

The Executive Administrative Assistant to the CCABO and CAB team provides high-level, confidential administrative support including duties ranging from clerical, administrative and project-based work, scheduling travel, arranging meetings, and handling information requests to preparing reports and correspondence and liaising with other senior executives and members of the Board of Directors. This position will be privy to confidential information and as such, requires diplomacy and discretion. Strong communication and organizational skills are required and must be demonstrated at all times. This position will work closely with other administrative assistants to senior executives.

Principal Duties and Responsibilities - Primary responsibilities listed in order of importance

Manage all of the administrative aspects of the Culture and Belonging Department.

Manage the schedule of the CCABO and the Culture & Belonging Department Calendar of events and sponsorships. Maintain accurate and up to date calendars.

Assist in the management of the Culture & Belonging contract management system, and billing and invoice systems, which are computer-based and require a facility with Information Systems technology.

Assist the CCABO with the annual budget and monthly reconciliation of P-Card expenditures.

Arrange travel and logistics including booking flights, car rental and hotel accommodations for internal executives. Complete expense reports for travel and related reimbursement.

Schedule meetings, handle logistics, prepare and send materials for review prior to the meetings.

Interact professionally with external vendors, outside counsel, members of the Board of Directors, other Dollar Tree executives and associates.

Perform general administrative and clerical tasks such as answering phones, faxing, mailing, filing and photocopying.

Draft basic correspondence and CAB documents, with oversight from CCABO.

Take on special projects and additional responsibilities as needed.

Minimum Requirements/Qualifications - Summary of knowledge, experience and education required.

3+ years of experience as an Executive Assistant at a senior executive level.

Superb written and communication skills

Strong interpersonal and organizational skills

Extreme attention to detail

Ability to stay one step ahead and anticipate needs

Ability to meet objectives with minimal direction

Persistence, resourcefulness, drive and ability to work proactively

Proficiency with document creation/editing with Microsoft Office and software like Word, Excel, PowerPoint, Docs, and Sheets.
