Executive Administrative Assistant - Corporate HR Support
Location: Onsite in Burbank, CA (Mon-Thurs) Remote on Fridays
Pay: $28-$35/hour (W2) 3-Month Contract

Russell Tobin is excited to support a global leader in the media and entertainment industry in hiring an Executive Administrative Assistant to join a dynamic Corporate Human Resources team. This fast-paced and highly visible department supports some of the most creative and strategic minds in the business. In this role, you'll provide direct administrative support to a Vice President and three Directors, helping manage the day-to-day flow of operations. You'll also collaborate across departments and be the go-to person for everything from travel and meeting logistics to onboarding and team morale.
Key Responsibilities:
- Act as the primary administrative support for senior HR leaders
- Manage multiple complex calendars with changing priorities
- Coordinate high-volume meetings, video calls, and conference rooms
- Prepare detailed multi-city travel itineraries with foresight for logistics
- Process expense reports and maintain department supplies and purchase orders
- Draft internal communications, reports, and summaries
- Assist with onboarding and serve as a helpful guide for new employees
- Collaborate on event planning, from executive offsites to internal celebrations
- Maintain confidentiality in handling sensitive information
- Be proactive, professional, and approachable in all internal interactions
What We're Looking For:
- 5+ years supporting Director-level or above (corporate or entertainment experience a plus)
- Excellent written and verbal communication skills
- Strong organizational skills and detail orientation
- High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience using SAP, SharePoint, Concur, or similar platforms
- Ability to stay composed under pressure and manage shifting priorities
- A team-first attitude - ready to partner with other admins and support staff
- Someone who asks smart questions, takes initiative, and always follows through
Nice to Haves:
- Experience supporting leaders in a large, publicly traded organization
- Background in entertainment, media, or HR functions
- Bachelor's degree
Additional Details:
- This position is onsite Monday-Thursday at the Burbank campus; remote on Fridays
- Candidates must be based in the greater Los Angeles area and available to work onsite as required
