Description

We are seeking a high-performing Executive Assistant with experience directly supporting top leadership in a fast-paced environment. This role will support our CEO, President and VP of HR. This role involves managing schedules, handling correspondence, organizing meetings, and maintaining records to ensure smooth operations and effective communication within the organization. This role handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people.

The ideal candidate should be dynamic, thrive in a fast-paced environment, proactive and handle challenging situations as they arise.
Roles and Responsibilities

• Provide administrative support to the CEO, President and VP of HR

• Proactively manages calendars by anticipating needs, adjusting for conflicts, and ensuring all logistics (including materials, location, timing, etc.).

• Schedule internal and external conference calls and in person meetings per request, proactively reaching out to specific contacts as necessary

• Maintain an organized account of meeting requests that come through

• Facilitate internal communication (distribute information and schedule presentations)

• Conducts research and information gathering on behalf of the executive and prepares summaries and reports.

• Arrange complex travel, including flights, cars, hotels, and other reservations

• Completion of detailed expense reports in a timely manner, including tracking receipts and reimbursements

• Monitor and maintain office equipment and inventory supplies

• Assist with a variety of ad hoc projects, including event planning, strategic operations, and process improvement initiatives

• Provide back up support to other members of the administrative team as needed

• Strong proficiency in Microsoft Office Suite
Education and experience

• Bachelor's degree required

3+ years of administrative assistant experience supporting senior leadership ideally within manufacturing a fast-paced, high-pressured environment

Salary Description

$78,500 to $102,000
