GMC is seeking a highly organized, productive, and detail-oriented
Executive Administrator (EA) to join our Disaster Recovery team. The role of the EA is to provide administrative support to the Disaster Recovery senior leadership and staff. This position can be located in
Atlanta, Ga or
Montgomery, AL. It is essential for the EA to maintain a positive outlook and adopt a problem-solving perspective to effectively meet needs quickly. Honesty, integrity, and dependability are also necessary qualities for this position. This pivotal role requires a self-starter with exceptional communication and problem-solving skills, capable of managing complex schedules, confidential information, and diverse administrative tasks with efficiency and discretion. The ideal candidate will be a trusted partner to our executives, ensuring seamless operations and contributing to the organization's overall success. The EA will report to the Executive Vice President of Disaster Recovery.
Essential functions and responsibilities include: - Manage and maintain complex executive calendars, scheduling appointments, meetings, and travel arrangements.
- Handle confidential information with utmost discretion and professionalism
- Act as a liaison between executives and internal/external stakeholders
- Anticipate and proactively address the needs of executives
- Draft and edit correspondence, presentations, and other documents.
- Prepare and distribute meeting minutes and action items.
- Facilitate effective communication between executives and other departments.
- Work closely with other administrative staff to ensure smooth department operations
- Assist the finance department in the review and validation of department timesheets and invoices as needed
- Work with the department leaders to develop, track, and maintain contracts and contract renewals
- Order and maintain department equipment and supplies
- Coordinating meetings, lunch-n-learn activities, and maintaining schedules for conferences
- Prepare and organize meeting materials, presentations, and reports
- Organize and submit expense reports for Senior and Executive team members
- Assist with new hire paperwork and orientation
- Compose, edit, and revise a variety of documents
- Arrange travel and maintain travel logs for project teams as necessary
- Assist Public Assistance Team / Debris Team / other Administrators as needed
- Marketing assistance - reach out to marketing team, update different types of resumes, review drafts, input database past project information
- Other tasks assigned as needed
Minimum Qualifications: - 2-5 years of previous experience in a related field
- Must be detail-oriented and a self-starter
- Strong written and verbal skills
- Ability to multi-task and work under pressure
- Proven critical thinking and problem-solving abilities
- Adaptable and efficient
- Demonstrates the ability to prioritize work
- Experience using Microsoft Office, Teams, Power Point, Word and Excel
- Experience using or willingness to learn Bluebeam
