Position Summary: The Executive Administrator will serve as the primary administrative partner to the President, ensuring the executive office operates with efficiency, discretion, and professionalism. This role requires high-level coordination, communication, and administrative skills to support strategic initiatives, company operations, and executive decision-making.
Key Responsibilities: Executive Support: - Manage the President's calendar, appointments, and travel arrangements.
- Serve as the primary gatekeeper for the President's time and priorities.
- Review all emails and prioritize according President's priorities.
- Prepare meeting agendas, reports, and presentation materials for internal and external meetings.
- Coordinate executive communications, including email, memos, briefings, and presentations.
- Attend key meetings, (I.e. including APM/PM meetings) document minutes, track action items, and follow up on deliverables.
Operational Coordination: - Support the planning and execution of meetings, leadership offsites, and strategic planning sessions.
- Assist in managing special projects and initiatives as assigned from inception to completion.
- Other duties as assigned.
Administrative Excellence: - Maintain executive files, documents, and records with the highest level of confidentiality.
- Process purchase orders, and manage executive office supplies.
- Develop and maintain systems to increase efficiency in administrative workflows.
Relationship Management: - Interface with internal staff, clients, vendors, and partners on behalf of the President when required.
- Represent the executive office professionally in all communications.
- Support stakeholder engagement by coordinating events, correspondence, and executive-level meetings.
Qualifications: - Bachelor's degree in Business Administration, Communications, or a related field preferred.
- 5+ years of experience supporting C-level executives, ideally in a construction, engineering, or operations-based company.
- Exceptional written and verbal communication skills.
- High proficiency in Microsoft Office Suite and collaboration platforms (e.g., Teams, SharePoint, Zoom).
- Strong organizational and office project management skills with an ability to manage multiple priorities.
- Proven ability to handle confidential information with discretion.
