no third party solicitations pleasePosition Summary The Executive Administrative Assistant will be based out of our HQ in Taunton, MA, and will provide continuous administrative support to the executive team. This role requires a motivated individual who can manage multiple tasks, prioritize projects, interact professionally with all levels of the organization, and be able to successfully execute tasks on short notice. This position involves a wide range of administrative duties and demands a strong sense of integrity, confidentiality, as well as exceptional organizational skills.
Primary Duties and Responsibilities - Provide high-level administrative support and assistance to the executive team
- Manage and maintain executive calendars and communications
- Greet incoming visitors professionally and ensure coordination of all needed items for planned customer and vendor meetings (conference room, IT, meals, etc.)
- Schedule, prioritize, and coordinate internal and external meetings, including communicating relevant details to participants
- Coordinate various team events and off-sites, including details such as catering, entertainment, transportation, location, invitee list, equipment, etc.
- Evaluate and approve expense reports, ensuring they are accurate and properly documented
- Review and distribute incoming correspondence, mail, packages, reports, and other materials
- Manage travel arrangements and logistics for the executive team
- Handle trade association memberships and register attendees for events as needed
- Maintain a comprehensive inventory of office supplies and equipment
- Develop and maintain relationships with office-related vendors and suppliers, including negotiating contracts to secure cost effective solutions for office needs
- Oversee and coordinate property maintenance and repairs
- Assist with special projects and other duties as needed
Education and Skills Requirements - Associate or Bachelors degree preferred
- Minimum of 5 years of experience in similar role supporting senior leadership
- Proven knowledge of using Microsoft Office (Word, Excel, PowerPoint) and the ability to quickly learn and utilize internal software applications
- Demonstrated ability to handle confidential information with discretion and professionalism
- Excellent analytical and interpersonal skills
- Exceptional attention to detail
- Excellent planning and time management skills
- Strong written and verbal communication skills
- Ability to interact with all levels of internal and external contacts in a professional, courteous manner
Physical Requirements - Able to occasionally bend, stand, walk, climb, push, pull, reach
- Able to lift 25 lbs occassionally
- Dexterity of hands/fingers to operate computer including keyboard, mouse, and other equipment
Supervisory Responsibility This position has no supervisory responsibilities
Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers.
