Principal Responsibilities:

The Events Coordinator supports our vibrant adult, youth, and family programming in afternoons, evenings, and weekends. This individual ensures successful implementation and patron experience at programs and special events in our Bendheim Performing Arts Center, Social Halls, and Makerspace. This includes overseeing day-of event support for participants, setup, logistics and details, registration table, organizing volunteers, and follow-up at the end of events. The EventsCoordinator will report to the Director of Strategic Initiatives and Events.

Flexible part-time position (5-7 hours per week) with flexible hours ranging between 3:00 PM and 9:00 PM on evenings and weekends based on the event needs.

Salary: $29-31/hour, Average 5-7 hours per week, as needed

Minimum Qualifications:

Key Responsibilities and Expectations:
  • Organize youth, adult, and family programs day-of, including welcome and registration, room/tech set up, and signage. Lead process for registration (advanced registration and day-of registration).
  • Communicate and collaborate with fellow staff, volunteers, and patrons. Act as point person and provide training and guidance to contracted facilitators and volunteers to ensure program success.
  • Interface with Facilities team to ensure proper setup for events. Conduct light room setup. Set up food and drink, manage inventory; troubleshoot day-of.
  • Oversee night-of theatre protocols and rules, entry, ushers tasks and room flow during event
  • Utilize various systems, including CRM and room reservation systems. Conduct data entry.
  • Communicate immediately prior to and during the event with event speakers and performers, event partners.
  • Support events as needed, from directing participants to rooms, restrooms, to printing materials.
  • Respond to inquiries from patrons face-to-face, on phone, and email.
  • Other duties as assigned by the Director of Strategic Initiatives and Events.
Skills, Education and Experience
  • Highly organized with strong attention to detail.
  • Experience in event implementation and coordination.
  • Positive and collaborative attitude
  • Prior experience working with CRM systems/databases.
  • Excellent verbal and nonverbal communication and listening skills
  • Strong work ethic that includes punctuality, organization, and attention to detail
  • Ability to maintain a friendly, enthusiastic, and positive attitude
