MISSION Medimaps is seeking a highly organized and detail-oriented
Event Specialist to join our US Commercial Operations team. In this role, you will be responsible for budgeting, planning, executing, and overseeing a wide range of events, including tradeshows, conferences, customer engagements, webinars, and internal meetings across the United States, with occasional support for international events.
As an Event Specialist, you will report directly to the Director of Market Strategy & Business Development and be responsible for developing event strategies, managing execution, and tracking performance to ensure each event meets company standards and delivers impactful experiences.
KEY CHALLENGES OF THE ROLE ? Develop and Manage Event Calendar: Collaborate with the Director of Market Strategy, Global VP of Marketing Communications (MarCom), and the US Sales Team to create and maintain Medimaps Group's annual event calendar, ensuring alignment with company goals and key initiatives.
Event Timelines and Budgets : Oversee and manage event timelines, budgets, and logistics to ensure successful execution within scope, budget, and schedule. This includes the timely preparation and delivery of all event-related activities.
Primary Event Point of Contact : Serve as the main liaison for all internal and external stakeholders regarding event planning and execution. This includes working closely with vendors, suppliers, and various teams across the organization.
Collaborate with U.S. Field Marketing Teams : Work closely with the U.S. field marketing teams to design, plan, and execute localized customer events that align with overarching commercial objectives.
Supplier Management : Build and maintain strong relationships with suppliers and vendors, ensuring effective collaboration for event production, materials, and execution.
Pre-Event Planning and Coordination : Lead internal pre-event meetings to outline objectives and responsibilities. Provide support throughout the event preparation phase, including coordinating logistics, preparing communication materials, managing symposium speakers, and ensuring smooth onsite operations.
Customer-Facing Marketing Materials : When necessary, create customer-facing marketing assets, such as brochures, conference materials, and social media content, ensuring alignment with Medimaps' brand guidelines and messaging.
Event Materials Logistics and Quality Control : Oversee the printing, shipping, and distribution of all marketing materials for events across the U.S., ensuring quality control and timely delivery to all event locations.
Social Media Engagement : Contribute to social media content related to tradeshows and events in close collaboration with the Global Marketing team, ensuring consistent messaging and engagement across platforms.
Event Performance and Post-Event Analysis: Establish clear pre-event objectives and KPIs, then conduct thorough post-event evaluations to assess success and identify areas for improvement. Provide detailed reports with actionable recommendations to enhance the performance and effectiveness of future events.
Cross-Functional Collaboration : Work closely with cross-functional teams (including sales, product marketing, and customer success) to ensure that all events are aligned with business objectives and customer engagement strategies.
Continuous Improvement: Continuously assess event performance and provide feedback and strategic recommendations to improve processes, engagement tactics, and the overall impact of Medimaps' event strategy.
Industry Trends : Stay up to date with industry trends, new technologies, and best practices in event planning to bring fresh ideas and innovative approaches to the Medimaps event strategy.
WHAT DO YOU NEED TO SUCCEED ? - BA/BS degree in Marketing, Business, Event Managment or another relevant subjec.t
- 5+ years of experience in events, ideally in the medical field.
- Proven track record of successful events meeting objectives.
- Experience in managing multiple events/logistics simultaneously in a professional, organized manner.
- Basic proficiency in Canva and InDesign.
- Experience in the management of professional material printing.
- Travel: This position requires travel up to 35%

- Excellent oral and written communication skills in English, other European language is a plus
