Job Description:

We're seeking an organized, creative, and detail-oriented temporary Event Planner and Marketing Coordinator to support Acentra's presence at industry conferences and events. This role will play a key part in planning, executing, and supporting internal and external events. It may entail contributing to broader marketing efforts that promote Acentra Health's brand and mission.

Key Responsibilities

• Plan and manage logistics for conferences, trade shows, and other corporate events, including securing venues, coordinating travel, shipping booth materials, and scheduling.

• Design and maintain conference planning timelines, budgets, and checklists.

• Collaborate with internal teams to ensure booth materials, presentations, and collateral align with branding and messaging.

• Coordinate with vendors for signage, promotional items, and event materials.

• Support pre- and post-event marketing activities (social media, email outreach, lead tracking).

• Assist with content creation for marketing campaigns related to events.

• Maintain an organized inventory of booth assets, event kits, and branded materials.

• Ensure a seamless on-site experience, including booth setup and breakdown when attending.

• Track and report on event performance, ROI, and lead generation.

Qualifications

• 4 years of experience in event planning, marketing, or a related field.

• Strong project management and organizational skills.

• Excellent communication and interpersonal abilities.

• Ability to juggle multiple events and deadlines in a fast-paced environment.

• Comfortable working both independently and as part of a collaborative team.

• Proficiency in Microsoft Office; familiarity with marketing tools (like Canva, Mailchimp, or HubSpot) a plus.

• Willingness to travel to select conferences and events as needed.

Preferred Skills

• Experience supporting healthcare or government-related events is a plus.

• Knowledge of branding and marketing fundamentals.

• Eye for design and layout (experience with Adobe Creative Suite or similar tools is a bonus).
