POSITION SUMMARY: We're seeking a detail-oriented, highly organized, and motivated Event Manager to join our team. In this role, you will be responsible for coordinating various aspects of event planning and execution, ensuring seamless operations from start to finish. The Event Manager is responsible for overseeing and managing all aspects of onsite event planning and execution. This individual is responsible for ensuring that events run smoothly, meet objectives, and exceed company and attendee expectations. He/she must possess excellent organizational, communication, and problem-solving skills to effectively coordinate logistics, manage staff, and handle any issues that may arise during events.
Key Responsibilities:Pre-event Coordination: - Collaborate with Sr. Events Manager and internal teams to understand event objectives, requirements, and expectations.
- Attend all pre-event operations meetings with internal team
- Coordinate with vendors, suppliers, and venues to arrange necessary services, equipment, and facilities required on event day
- Obtain necessary permits and ensure compliance with local regulations for all events.
- Create and manage event ticketing pages on platforms such as Eventbrite, Tock, and others.
- Work closely with the sales team to provide BEOs (Banquet Event Orders) for food and beverage needs at events.
- Engage with potential sponsors, set up meetings, and help secure sponsorships for events.
Onsite Management: - Serve as the primary point of contact for all onsite event activities.
- Oversee setup, execution, and breakdown of event spaces, ensuring all elements are in place and functioning properly.
- Direct onsite staff, including event coordinators, vendors, and support personnel, to execute their responsibilities efficiently.
- Address any issues or emergencies that may arise during events, implementing quick and effective solutions to minimize disruptions.
Attendee Relations: - Provide exceptional customer service to guests, addressing their needs and concerns promptly and professionally.
- Interact with event attendees to ensure a positive experience and gather feedback for future improvements.
- Act as a brand ambassador, representing the organization positively and promoting its values and offerings.
Team Leadership and Training: - Recruit, lead, motivate and manage onsite event teams, fostering a collaborative and high-performance work environment.
- Provide training, guidance, and support to event staff, ensuring they understand their roles and responsibilities.
- Conduct post-event debriefings and performance evaluations to identify areas for improvement
Quality Assurance and Compliance: - Monitor event activities to ensure compliance with safety regulations, legal requirements, and organizational policies.
- Conduct quality checks to verify that all aspects of events meet established standards and expectations.
- Implement best practices and continuous improvement initiatives to enhance the overall quality and effectiveness of onsite event operations.
- Prepare detailed pre- and post-event reports outlining event performance, including budget reviews, stakeholder and vendor feedback, and attendee satisfaction.
- Maintain and organize event supplies to ensure everything is ready and available for events.
- Track and report on company credit card usage related to event expenses.
- Update and maintain the event budget tracker regularly, ensuring events are on budget and tracking any adjustments.
- Review event-related invoices and submit for timely payment.
Requirements
Qualifications: - Bachelor's degree in hospitality management, marketing, communications, or a related field (preferred).
- Proven experience (3+ years) in event planning, management, or coordination, with a focus on onsite execution.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively in a fast-paced environment. Strong Problem solving ability
- Excellent communication and interpersonal skills, with the ability to interact professionally with guests, vendors, and event stakeholders.
- Leadership abilities, including the capacity to lead and motivate teams, resolve conflicts, and make quick decisions under pressure.
- Proficiency in Microsoft Office Suite and Google Drive
- Flexibility to work irregular hours, including evenings, weekends, and holidays, as required by event schedules.
- Ability to work well independently and as part of a collaborative team.
- Experience with event ticketing platforms (Eventbrite, Tock, etc.)
- Experience with sponsorship outreach and relationship management is a plus.
