The Event Coordinator at the TWA Hotel is crucial in ensuring exceptional service for all events. This role involves preparing event documentation and collaborating with Sales, property departments, and guests for a seamless experience throughout the event phases. The Coordinator also identifies revenue opportunities and offers enhancements to create outstanding events.

Key Responsibilities:
  • Proactively solve problems and suggest alternative arrangements as needed.
  • Lead engaging pre-event and post-event meetings for assigned groups.
  • Identify and address operational challenges, working with team members and guests to develop effective solutions.
  • Manage client budgets to maximize revenue while fulfilling client needs.
  • Oversee guest experiences from the file turnover through the post-event phase until turnover back to the Sales Department.
  • Administer group room blocks and meeting space for assigned events.
  • Adhere to established standards, policies, and procedures.
  • Recognize and celebrate team successes publicly.
  • Promote and upsell products and services throughout the event process.
  • Assist with customer site inspections and support the sales process as needed.
  • Serve as the liaison between the salesperson and the client during the event process.
  • Review billing and payments with clients.
  • Address guest issues and complaints with professionalism.
  • Greet clients during the event and facilitate a smooth handoff to the operations team.
  • Strive for continuous improvement in service performance.
  • Set a high standard for guest relations and interaction.
  • Communicate effectively with customers (internal and external) about all event details.
Requirements:
  • High school diploma (or equivalent); hotel/college training preferred.
  • Previous experience in Restaurant or Hotel Food and Beverage preferred.
  • Solid understanding of banquet revenue generation.
  • Creative, innovative, proactive, and customer-oriented.
  • High energy level with an outgoing personality.
  • Strong organizational skills and attention to detail.
  • A diplomatic team player with excellent communication skills.
  • Proficient in Microsoft Office, event management software, and customer management platforms.
  • Exceptional time management and multitasking abilities.
  • A self-motivated approach with a can-do attitude.
  • Flexible availability, including days, nights, holidays, and weekends as required.
