Key Responsibilities:

  • Maintain an accurate, up-to-date inventory of all IT equipment using asset management tools (e.g., spreadsheets, ITAM software, or tracking systems).
  • Track the physical location and assignment of laptops, monitors, and other peripherals across departments and teams.
  • Manage shipping and receiving of devices-ensuring timely delivery and return of equipment to employees, contractors, and clients.
  • Inspect all incoming and outgoing equipment for damage, wear, or technical issues.
  • Clean, reset, and reimage returned devices for reuse or storage.
  • Perform basic repairs or coordinate with IT support to troubleshoot and escalate hardware issues.
  • Maintain documentation of serial numbers, asset tags, user assignments, and equipment movement logs.
  • Generate reports on equipment usage, device status, stock levels, and upcoming hardware needs.
  • Collaborate with the IT, HR, and Facilities teams to ensure seamless onboarding and offboarding of employees with the proper equipment.
  • Package and label equipment for safe and secure shipping domestically.
  • Work with shipping carriers and vendors to schedule pickups and deliveries.
  • Receive and inspect deliveries of new equipment, verifying order accuracy and condition.
  • Travel to client locations for equipment pickup if necessary.
  • Interact with employees, responding promptly and professionally to inquiries via phone and email, delivering exceptional service.
  • Coordinates office supply ordering and management.
  • Arrange travel accommodations, including booking, rebooking, or rescheduling flights, hotel accommodations, dining reservations, and ground transportation as required.
  • Assist in organizing company events and meetings, including setting up conference rooms and arranging catering.
  • Manage online orders for gifts, birthday gift cards, holiday gifts, etc.
  • Ensure accuracy and consistency of all employee data across various systems.
  • Handle confidential information with discretion.
  • Provide prompt follow-through on issues and proactively communicate information to leadership to ensure smooth business operations.
  • Maintain confidentiality when handling sensitive information, documents, emails, employee inquiries and complaints.
  • Collaborate with team members on various projects as needed.

Qualifications:

  • 2-4 years of experience in a similar role.
  • Prior experience with onboarding and offboarding processes.
  • Strong customer service skills.
  • Detail-oriented, accurate, and organized in task completion.
  • Excellent verbal and written communication skills.
  • Efficient time management abilities.
  • Capacity to manage and prioritize multiple projects simultaneously in a fast-paced environment.
  • Intermediate proficiency in MS Office applications (Excel, Word, Outlook).
  • Need a clean DMV record and a dependable car.
  • Ability to move and lift up to 25 lbs.

Type: Full-time (40 hours/week)

Location: Hybrid schedule, Campbell, CA

Hours: 8:30 am to 5:30 pm PST with flexibility for after-hours work if required

Compensation: $50,000 to $70,000 per year (DOE)
