Engineering Administrative Assistant Coordinator
The Assisting Engineering Coordinator is a partnership position with TMG and FST Technical Services

The Engineering Assistant Coordinator plays a key role in ensuring seamless project execution and exceptional client interactions. As part of the FST commissioning team, this position is responsible for managing critical project requirements-including client communication, scheduling, documentation, and invoicing-to keep projects on track from kickoff to closeout.
This role requires strong attention to detail, proactive follow-up with clients, and the ability to coordinate project deliverables while maintaining excellent customer service. The Assisting Engineering Coordinator serves as a primary point of contact for both internal teams and external clients in New York, ensuring all project-related documentation, invoices, and deadlines are handled efficiently. This role is office based with occasional project site visits.
Key Responsibilities:
- Serve as a liaison between clients and project teams, ensuring clear communication and prompt responses to inquiries.
- Track project hours and expenses, create and submit invoices to clients, and follow up on outstanding receivables.
- Work closely with team leaders to develop and update project requirements while keeping clients informed.
- Attend project meetings, document key milestones, and follow up on action items with both internal teams and clients.
- Maintain and organize project directories, schedules, and critical documentation (drawings, submittals, invoices, etc.).
- Assist with managing and coordinating commissioning work products across multiple projects.
- Ensure clients receive timely updates on project status, deliverables, and any required documentation.
- Track project budgets and ensure projects remain on financial targets.
- Organize and facilitate internal project kickoff meetings with the team leader, ensuring alignment with client expectations.
- Coordinate scheduling across multiple platforms (Teams, Webex, Zoom) and manage meeting logistics.
- Support fieldwork in a limited capacity for documentation and data collection.
Qualifications:
- Associate's or Bachelor's degree (or equivalent experience) in construction management, engineering, or a related field but qualification in Business, Project Management will also be considered

- Experience in project administration, invoicing, and tracking budgets.
- Proficiency in Microsoft Office, Adobe, Bluebeam REVU, and project management platforms such as ProCore, E-Builder, or BIM 360.
- Strong organizational, problem-solving, and analytical skills
Desirable experience will include:
- Have the ability to perform equipment take-offs on design drawings and have a base understanding of MEP Systems.
- Previous experience in construction management or engineering industry
Salary range: $65,000 - $85,000
