Position Summary:

We are seeking a highly organized, industry-experienced Administrative Assistant to manage front desk operations and provide administrative and technical support to our engineering and lab teams. The ideal candidate will have experience in a technical or engineering setting and be comfortable with multi-tasking, prioritizing competing deadlines, and working in a fast-paced environment.

Key Responsibilities:
  • Greet visitors and manage front desk operations
  • Answer phones and direct calls; coordinate with field staff for dispatching and scheduling
  • Perform technical typing and formatting of engineering reports, including lab data and test results
  • Input and maintain project data and documentation in internal systems
  • Prepare, proofread, and distribute correspondence, reports, and other documents
  • Support project managers and engineers with administrative tasks
  • Assist with document control and project filing systems
  • Monitor office supply levels and reorder as needed
  • Other administrative duties as assigned
Qualifications:
  • 2+ years of administrative experience in construction materials testing, geotechnical engineering
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with technical report formatting and data entry from lab reports
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Ability to multi-task and prioritize workload efficiently
  • Professional and courteous demeanor with internal teams and external clients
  • Familiarity with engineering terms and test procedures is highly desirable
Preferred Qualifications:
  • Previous experience working in a geotechnical or materials testing environment
  • Familiarity with project management software or databases
  • Knowledge of ASTM, AASHTO, or related lab test standards a plus
