JOB SUMMARY Reporting directly to the Division Administrative Manager, responsible for providing administrative support to the Williamson County EMS Department by performing reception and clerical duties.
EXAMPLES OF WORK PERFORMED- Provides coverage at a reception desk to assist visitors and callers
- Provides customer service via telephone, email or in person
- Assists public with class registration, medical record and billing request questions, and general information
- Assists with receiving EMS Warehouse items
- Responds to routine and mid-level questions, generally in-person, by phone or email
- Answers multi-line telephone and monitors multiple departmental email accounts
- Refers requests for detailed information to appropriate departmental personnel
- Processes internal and external mail, and checking mail at off-site post office box
- Maintains office supply inventory and places orders, as needed
- Coordinates office equipment maintenance
- Maintains accurate medical records as well as assists with oversight of retention and storage of department and patient files
- Receives and files documents into electronic patient care reporting system
- Transmits documents to contracted billing company
- Submits building maintenance requests for completion
- Coordinates and schedules the use of the North Campus Facility conference rooms
- Manages and schedules class reservations for public
- Receipts clientele for various payments
- Assists in the processing of deposits as needed
- Assists in purchase order preparation as needed
- Creates and maintains various reports, forms, worksheets, and informational materials as needed
- Ensures comprehensive filing systems are maintained and up to date
- Enters and verifies data within applicable databases and systems
- Cross-trains with office staff in other areas to ensure continuity of departmental operations
- Attends all meetings and trainings, as required

MINIMUM QUALIFICATIONS- High school diploma or equivalent and two (2) years of clerical experience including data entry and customer service
